What should be achieved?
The employees in your company are given the opportunity to photograph and/or update their personal employee photo at a fixed location or at rotating locations (e.g. in the casino or company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that additional human resources staff are not needed on site.
You give your staff the opportunity to identify themselves 100% with their personal employee photo.
The staff photos can be automatically adjusted to the optimal format, removed from annoying elements in the background and saved in different dimensions and aspect ratios if desired.
Our proposed solution
You place a photo box set up for employee photos in your company (e.g. in the cafeteria, at the ID office or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will stand in front of the photo box in a similar way to a passport photo machine and read the operating instructions for the necessary steps on the screen.
The screen serves as a touch screen at the same time as an input terminal for the necessary data, such as B. Personnel identifier, name, surname and/or date of birth.
Alternatively, the photo box can also be set up in such a way that the data can be read directly from the employee ID card. The information collected in this way then becomes part of the file name of the employee photo taken.
Optionally, a data protection screen can be displayed with a confirmation option for internal / external use of the photo.
After the employee portrait has been photographed, the background of the recording can be automatically replaced with one or many backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and placed in a defined position on the final image.
The photo is saved in a size and format you specify (eg square for Active Directory). A comparison is made between the photographed image and the internal employee data record via the file name. We would be happy to support your IT department in specifying the import interface.
A biometric check and a cut to a biometric ID photo are also available.
The image output can be done in many dimensions at the same time.

Of course, each file can also be “personalized” with company logos and/or the employee's name and position can appear directly on the image.

How does the employee get the picture?
So that the CRM system or Active Directory alone does not get hold of the new photos, there are three different ways for the employee to choose from to receive his photo as a file.
- Download from an online gallery
At the end of the recording, a code is displayed on the screen or printed out, which the employee can use to download the original recording and the different versions for the different target systems. - Download via QR code from an offline gallery
The photo box provides its own WLAN that the employee has to dial into.
At the end of the recording, a QR code will appear on the screen. That QR code leads to the offline gallery from which the employee can save his photos. In contrast to the online gallery, this way is only possible in the immediate vicinity of the photo box. - Enter the email address at the end of the photo sequence.
Then the captured photo is immediately sent to the employee's email inbox.
Other deployment options
In order to take full advantage of the purchase, you have the following options:

The need for investment
The cost of purchasing a photobooth optimized in this way starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course, there is also the chance to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the system is purchased immediately.
