The mission goal

The employees in your company have the opportunity to photograph and/or update their own employee photo at a fixed or regularly changing location (e.g. in the casino or the company canteen or human resources department).
It is important that this is achieved in the form of a self-service process and that additional personnel are not needed on site.
You give your staff the opportunity to identify themselves completely around the clock with their personal employee photo.

The staff photos can be automatically adjusted to the optimal format, freed from annoying elements in the background and optionally saved in various dimensions and aspect ratios.

The solution

You position a photo box perfect for employee photos in your company (e.g. in the HR department, at the ID or at the entrance in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photo box and read the operating instructions for the necessary steps on the screen, similar to the photo booth.

The screen serves as a touch screen at the same time as an input terminal for the necessary data such as e.g. B. Employee ID, first name, last name and/or date of birth.
Alternatively, the Photo Box can also be configured in such a way that the data is simply read in from the company ID card. The data recorded in this way is then part of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal/external use of the employee portrait can also be set up.

After the employee portrait has been taken, the background of the image can be automatically replaced with one or many backgrounds specified by you. The head of each photo is also analyzed, adjusted to a specified size and placed in a specified position on the final image.

The recording is saved in a size and format specified by you (eg square for the Active Directory). The file name is used to compare the portrait taken with the internal employee data record. We would be happy to support your IT department in clarifying the connection.

A biometric check and a cut to a biometric ID photo are available as an option.
The image output can take place synchronously in various forms.
So you always have the right photo for
Twitter, the CRM system, Outlook, XING, Instagram, LinkedIn, Facebook, WhatsApp & Co
etc. within easy reach.

Of course, each file can also be “branded” with the company logo and/or the name and position of the employee will be immediately visible on the image.

How do the staff get their picture?

So that the CRM system or the ActiveDirectory alone does not come into possession of the new photos, there are three different ways for the employee to get his photo as a file.

  1. Download from an online gallery
    At the end of the recording, a code is displayed on the touchscreen or printed out, which the employee can use to load his original photo and the different formats for the different target systems.
  2. Download via QR code from an offline gallery
    The photobox provides its own WLAN that the employee has to dial into.
    At the end of the sequence, a QR code is displayed on the screen. This QR code leads to an offline gallery from which employees can load their photos. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo box.
  3. Enter the email address at the end of the photo sequence.
    Then the captured photo is immediately sent to the employee's mailbox.

Further deployment options

In order to get the most out of your investment, you have the following options:

The need for investment

The investment for the acquisition of such a perfected photo box starts at around € 4,400 plus VAT and pays off for companies with around 100 employees.
Of course, there is also the opportunity to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the photo box is bought immediately.
