The mission goal
The employees in your company have the opportunity to photograph and/or update their own employee photo at a fixed or regularly changing location (e.g. in the casino or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that extra personnel are not required on site.
You give your employees the option to identify themselves at any time to 100% with their individual employee photo.
The personal photos are automatically cropped to the appropriate format, freed from disturbing elements in the background and optionally saved in a number of formats and aspect ratios.
The solution
You position a photo booth set up for employee photos in your company (e.g. in the personnel department, at the ID office or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photo box, similar to a passport photo machine, and read the instructions for the necessary steps on the touchscreen.
The monitor serves as a touch screen at the same time as an input terminal for the necessary information such as e.g. B. ID, name, surname and/or date of birth.
Alternatively, the photo box can also be configured in such a way that the data can be read directly from the company ID card. The data recorded in this way then becomes part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a confirmation option for internal/external use of the image.
Following the recording of the employee portrait, the background of the recording can be automatically exchanged for one or several backgrounds specified by you. Likewise, the head of each photo is determined, adjusted to a specified size and placed in a defined position on the final image.
The photo is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison between the stored image and the in-house employee data record takes place via the name of the file. We would be happy to help your IT department determine the import interface.
A biometric check and an adaptation to a biometric ID photo are available as an optional expansion stage.
The image output can take place in many forms at the same time.

Of course, each file can also be “personalized” with company logos and/or the employee's name and position can be included in the image.

How do the staff get their picture?
So that not only the CRM system or the Active Directory comes into possession of the new pictures, there are three different ways for the employee to choose to also get his picture digitally.
- Download from an online gallery
At the end of the sequence, a code is displayed on the screen or printed out, which the employee can use to download his original image and the different sizes for the different target systems. - Download via QR code from an offline gallery
The photo box provides a private WLAN that the employee has to dial into.
At the end of the sequence, a QR code is displayed on the screen. The QR code leads to the offline gallery where employees can download their recordings. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box. - Enter the email address at the end of the photo sequence.
The photo taken is sent directly to the employee's mailbox.

In order to make the best possible use of your investment, you have the following options:

The cost frame
The price for the purchase of a photo booth optimized in this way starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course there is also the possibility to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is kept immediately.
