The mission goal
The employees in your company have the opportunity to photograph and/or update their own employee photo at a fixed location or at rotating locations (e.g. in the dining room or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that you do not need additional staff on site.
You give your staff the chance to always fully identify themselves with their personal employee photo.
The personal photos are automatically cut to the best possible format, removed from disturbing elements in the background and optionally saved in several dimensions and aspect ratios.
The solution
You position a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID office or at the reception in a relaxed corner.
The space requirement is around 1.5mx 1m.
There, the employees can sit in front of the photo box and see the operating instructions for the necessary actions on the monitor, just like with the photo booth.
The screen serves as a touch screen at the same time as an input terminal for the necessary information such as B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be configured in such a way that the data is immediately read from the employee ID card. The data collected in this way is then a component of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal/external use of the employee portrait can also be displayed.
After the photograph of the employee picture has been taken, the background of the photo can be automatically replaced with one or several backgrounds specified by you. The head is also identified for each photo, scaled to a specified size and placed in a defined position on the final image.
The image is saved in a size and format you specify (eg square for Active Directory). A comparison is made between the recorded image and the internal employee data record via the file name. We would be happy to support your IT department in defining the interface.
A biometric check and a cut to a biometric ID photo are available as an additional expansion stage.
The image output can take place synchronously in several sizes.

Logically, each file can also be "personalized" with logos and/or the name and position of the employee can be immediately included in the picture.

How does the employee get the picture?
So that not only the CRM system or the Active Directory gets the benefit of the new photos, there are three different ways for the employee to get his photo as a file.

Then the captured photo is immediately sent to the employee's mailbox. - Download via QR code from an offline gallery
The Photobooth provides a private WLAN which the employee must dial into.
At the end of the recording, a QR code is displayed on the touchscreen. The QR code leads to an offline gallery from which employees can download their pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Download from an online gallery
At the end of the recording, a code is displayed on the screen or printed out, which the employee can use to copy his original photo and the different sizes for the various target systems.
Further deployment options
In order to get the most out of your investment, you have the following options:

The need for investment
The price for purchasing a photo box perfected in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 or more employees.
Of course, there is also the chance to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the photo box is kept immediately.
