The use of a photo box for employee photos
The employees in your company have the opportunity to photograph and/or update the individual employee photo at a fixed or periodically changing location (e.g. in the casino or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your teams the option to fully identify themselves at any time with their own employee photo.
The personal photos can be automatically adapted to the ideal format, removed from annoying elements in the background and, if desired, saved in certain dimensions and aspect ratios.
One possible solution
You place a photo box optimized for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photo box and read the instructions for the necessary actions on the display, similar to the photo booth.
The screen serves as a touchscreen at the same time as an input terminal for the necessary data such as B. Personnel identifier, first name, last name and/or date of birth.
Alternatively, the photo booth can also be programmed in such a way that the data can be read directly from the company ID card. The information collected in this way is then part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a confirmation option for internal / external use of the recording.
After the employee picture has been taken, the background of the picture can be automatically replaced with one or more backgrounds specified by you. The head of each photo is also analyzed, adjusted to a specified size and positioned at a specified location on the final image.
The image is saved in a size and format you define (eg square for Active Directory). The name of the picture is used to compare the photographed picture and the in-house employee data record. We would be happy to help your IT department determine the interface.
A biometric check and a cut for a biometric ID photo are available as an extra extension.
The image output can happen in different dimensions at the same time.

Of course, each file can also be “branded” with company logos and/or the employee's name and position will appear directly on the image.

How does the employee get his photo?
To ensure that the CRM system or Active Directory is not the only one to benefit from the new photos, there are three different ways for the employee to choose from to also receive their photo digitally.
- Download from an offline gallery via QR code
The Photo Box provides its own WLAN which the employee has to dial into.
At the end of the recording, a QR code will appear on the screen. This QR code leads to the offline gallery from which the employee can load his photos. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box. - Download from an online gallery
At the end of the sequence, a code is displayed on the touchscreen or printed out, which the employee can use to copy his original image and the various sizes for the various target systems. - Enter the email address at the end of the photo sequence.
In this case, the captured photo is immediately sent to the employee's inbox.
Other deployment options
In order to make the most of your investment, you have the following options:

The need for investment
The price for purchasing a photo box optimized in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the option to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is kept immediately.

Since the system was introduced in 2019, two photo boxes have been permanently installed in Germany and Switzerland.
