What should be achieved?

The employees in your company have the option of photographing their own employee photo and/or updating it at a fixed location or at regularly alternating locations (e.g. in the dining room or the company canteen or HR department).
It is important that this is the case in the form of a self-service process and that additional staff are not needed on site.
This gives your staff the option to fully identify themselves at any time with their own employee photo.

The personal photos are automatically adjusted to the optimal format, freed from annoying elements in the background and optionally saved in different shapes and aspect ratios.

A suggested solution

You position a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID card office or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photobooth, similar to the photo booth, and see the instructions for the necessary actions on the monitor.

The monitor serves as a touch screen at the same time as an input terminal for the required information such as e.g. B. Employee identifier, first name, last name and/or date of birth.
Alternatively, the photo box can also be set up in such a way that the data is read in immediately from the employee ID card. The information collected in this way then becomes part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a confirmation option for internal / external use of the employee profile can be set up.

After the employee portrait has been taken, the background of the image can be automatically replaced with one or many backgrounds specified by you. The head of each photo is also analyzed, scaled to a specified size and positioned at a defined position on the final image.

The recording is saved in a size and aspect ratio specified by you (eg square for Active Directory). A comparison is made between the photographed portrait and the internal employee data record via the name of the file. We would be happy to support your IT department in determining the interface.

A biometric check and an adaptation to a biometric ID photo is available as an optional extension.
The image output can take place in parallel in different forms.
So you always have the best possible photo for

etc. within easy reach.

Logically, each file can also be “branded” using the company logo and/or the employee's name and position will be immediately included in the image.

How does the employee get the picture?

So that not only the CRM system or the Active Directory can benefit from the new images, there are three different ways for the employee to receive his image as a file.

1. Download from an online gallery
   At the end of the recording, a code is displayed on the touchscreen or printed out, which the employee can use to download the original recording and the different versions for the different target systems.
2. Enter the email address at the end of the photo sequence.
   In this case, the captured photo is immediately sent to the employee's mailbox.
3. Download via QR code from an offline gallery
   The Photobooth provides its own WLAN, which the employee must dial into.
   At the end of the sequence, a QR code is displayed on the screen. That QR code leads to the offline gallery from which the employee can copy his photos. In contrast to the online gallery, this way is only possible in the immediate vicinity of the photo box.

Other deployment options

To get the most out of your investment, you have the following options:

• Photo attraction at customer events & conferences

The need for investment

The investment for the purchase of a photo box adapted in this way starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course, there is also the opportunity to try out the system in advance on a rental basis for €650 + €1/employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the photo box is taken over immediately.
