The mission goal

The employees in your company get the opportunity to photograph and/or update their personal employee photo at a fixed location or at alternating locations (e.g. in the dining room or company canteen or HR department).
It is important that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your employees the opportunity to fully identify themselves at any time with their personal employee photo.

The staff photos can be automatically adjusted to the best possible format, freed from disturbing elements in the background and optionally saved in different dimensions and aspect ratios.

Our proposed solution

You position a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID card office or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will sit down in front of the photo box, just like with a passport photo machine, and see the instructions for the necessary steps on the monitor.

The monitor serves as a touchscreen at the same time as an input terminal for the necessary information such as e.g. B. Employee ID, name, surname and/or date of birth.
Alternatively, the photo box can also be set up in such a way that the data is read in immediately from the company ID card. The information collected in this way then becomes an element of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a confirmation option for internal / external use of the image.

Following the recording of the employee picture, the background of the recording can be automatically replaced with one or more backgrounds specified by you. Likewise, the head of each photo is analyzed, adjusted to a specified size and placed in a defined position on the final image.

The photo is saved in a size and aspect ratio specified by you (eg square for Active Directory). A comparison between the photographed portrait and the internal employee data record takes place via the file name. We would be happy to support your IT department in clarifying the interface.

A biometric check and an adaptation to a biometric ID photo are also available.
The image output can be done simultaneously in different dimensions.
So you always have the ideal photo for

Of course, each file can also be “branded” with company logos and/or the employee's name and position can be included directly on the image.

How does the employee get his picture?

So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the employee to get his picture digitally.

1. Enter the e-mail address at the end of the photo sequence.
   In this case, the captured photo is immediately sent to the employee's e-mail inbox.
2. Download from an online gallery
   At the end of the sequence, a code is displayed on the screen or printed out, which the employee can use to download their original photo and the various sizes for the various target systems.
3. Download via QR code from an offline gallery
   The photo box provides its own WLAN which the employee has to dial into.
   At the end of the recording, a QR code is displayed on the screen. The QR code leads to an offline gallery where employees can copy their recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.

Other possible uses

In order to get the most out of your investment, you have the following options:

• Use at trade fairs to produce personalized “flyers”
• Creation of biometric passport photos and ID photos
• Photos of groups of visitors, e.g. after a tour of the company
• Photo attraction at customer events & meetings

The cost frame

The investment for the purchase of a photo box optimized in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the chance to try out the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the system is taken over immediately.
