The use of a photo box for employee photos

The employees in your company have the opportunity to create and/or update their own employee photo at a fixed location or at locations that change on a regular basis (e.g. in the casino or the company canteen or HR department).
It is essential that this is the case in the form of a self-service process and that you do not need additional staff on site.
You give your employees the chance to identify themselves completely around the clock with their individual employee photo.

The staff photos are automatically adjusted to the best format, freed from disturbing elements in the background and optionally saved in various formats and aspect ratios.

A suggested solution

You position a photo box that is perfect for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees will stand in front of the photo box, like at a passport photo machine, and read the instructions for the necessary steps on the monitor.

The monitor serves as a touch screen in parallel as an input terminal for the required information, e.g. B. Personnel number, first name, last name and/or date of birth.
Alternatively, the photo box can also be configured in such a way that the data is read in immediately from the employee ID card. The employee data recorded in this way is then a component of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal/external use of the employee portrait can also be set up.

After the employee portrait has been photographed, the background of the recording can be automatically replaced with one or many backgrounds specified by you. The head of each photo is also analyzed, scaled to a specified size and placed in a specified position on the final image.

The image is saved in a size and aspect ratio you specify (eg square for Active Directory). The file name is used to compare the portrait taken with the internal employee data record. We would be happy to support your IT department in defining the import interface.

A biometric check and an adaptation to a biometric ID photo is available as an optional extension.
The image output can happen in many dimensions at the same time.

Logically, each file can also be "branded" with a company logo and/or the name and position of the employee can appear directly on the image.

How does the employee get the photo?

So that the CRM system or Active Directory alone does not get hold of the new photos, there are three different ways for the employee to choose from to get his photo as a file.

1. Enter the email address at the end of the photo sequence.
   The photo taken is sent directly to the employee's mailbox.
2. Download from an online gallery
   At the end of the photo sequence, a code is displayed or printed on the touchscreen, which the employee can use to download his original photo and the various versions for the various target systems.
3. Download via QR code from an offline gallery
   The Photo Box provides a private WLAN which the employee must dial into.
   At the end of the sequence, a QR code is displayed on the screen. That QR code leads to the offline gallery where the employee can load his recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the photo booth.

The cost frame

The price for purchasing a photobooth optimized in this way starts at around €4,400 plus VAT and is already worthwhile for companies with around 100 employees or more.
Of course, there is also the option to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is kept directly.
