The mission goal

The employees in your company are given the option to photograph and / or update their personal employee photo at a fixed or alternating location (e.g. in the casino or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your workforce the chance to always identify 100% with your personal employee photo.

The staff photos can be automatically cut to the appropriate format, removed from annoying elements in the background and, if desired, saved in certain dimensions and aspect ratios.

Our proposed solution

You place a photo box set up for employee photos in your company (e.g. in the HR department, at the ID office or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photo box in the same way as with a passport photo machine and see the instructions for the necessary actions on the monitor.

The monitor serves as a touch screen at the same time as an input terminal for the necessary data such as B. Employee ID, name, surname and / or date of birth.
Alternatively, the photo box can also be configured in such a way that the data can be read directly from the employee ID card. The information collected in this way then becomes part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal / external use of the image can also be set up.

Following the photograph of the employee picture, the background of the photo can be automatically exchanged for one or more of the backrounds you have specified. The head of each photo is also found, scaled to a specified size and placed in a defined position on the final image.

The image is saved in a size and aspect ratio that you have specified (e.g. square for the ActiveDirectory). The name of the file is used to compare the captured image with the in-house employee data record. We would be happy to support your IT department in defining the import interface.

A biometric check and a cut for a biometric ID photo are available as an extra extension.
The image output can take place synchronously in various dimensions.

Of course, each file can also be “personalized” with company logos and / or the name and position of the employee can be directly on the picture.

How does the employee get his picture?

So that the CRM system or the ActiveDirectory does not alone get the new photos, the employee has three different ways to choose to receive his picture digitally.

1. Download via QR code from an offline gallery
   The photobooth provides its own WLAN which the employee has to dial into.
   At the end of the sequence, a QR code is displayed on the screen. This QR code leads to the offline gallery where the employee can download his pictures. In contrast to the online gallery, this path only goes in the immediate vicinity of the photo box.
2. Download from an online gallery
   At the end of the sequence, a code is displayed or printed on the screen, which the employee can use to download his or her original recording as well as the various formats for the various target systems.
3. Enter the email address at the end of the photo sequence.
   The photo taken is sent immediately to the employee's email address.

Additional deployment options

In order to make the best possible use of your investment, you have the following options:

The need for investment

The cost of purchasing a photo box optimized in this way starts at around € 4,400 plus VAT and pays off for organizations with around 100 employees.
Of course, there is also the possibility to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is kept directly.
