The mission goal
The employees in your company have the option of taking their own employee photo and/or updating it at a fixed location or at regularly changing locations (e.g. in the casino or the company canteen or HR department).
It is essential that this is the case in the form of a self-service process and that additional personnel are not required on site.
You give your staff the option to identify themselves around the clock to 100% with their own employee photo.
The staff photos are automatically optimized to the right format, removed from annoying elements in the background and optionally saved in several shapes and aspect ratios.
One possible solution
You position a photobox set up for employee photos in your company (e.g. in the HR department, at the ID or at the entrance in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photo box in a similar way to a passport photo machine and see the instructions for the necessary actions on the display.
The screen serves as a touch screen at the same time as an input terminal for the necessary data such as e.g. B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be configured in such a way that the data is simply read in from the company ID card. The data recorded in this way then becomes part of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal/external use of the employee portrait can also be displayed.
After the employee picture has been taken, the background of the picture can be automatically replaced with one or many backgrounds specified by you. The head is also identified for each photo, scaled to a specified size and positioned at a specified location on the final image.
The image is saved in a size and aspect ratio specified by you (eg square for Active Directory). A comparison between the stored portrait and the internal employee data record takes place via the file name. We would be happy to support your IT department in defining the import interface.
A biometric check and an adaptation to a biometric ID photo are available as an extra expansion stage.
The image output can take place in various formats at the same time.
So you always have the right photo for
the CRM system, Instagram, WhatsApp & Co, Twitter, Facebook, LinkedIn, XING, Outlook
etc. lying ready.
Of course, each file can also be “branded” with the help of the logo and/or the name and position of the employee will also be visible on the image.

How do the staff get their picture?
So that not only the CRM system or the Active Directory gets the benefit of the new photos, there are three different ways for the employee to get his photo digitally.
- Download from an online gallery
At the end of the photo sequence, a code is displayed on the touchscreen or printed out, which the employee can use to download his original photo and the different sizes for the various target systems. - Enter the email address at the end of the photo sequence.
In this case, the captured photo is sent directly to the employee's email address. - Download via QR code from an offline gallery
The Photobooth provides its own WLAN, which the employee must dial into.
At the end of the recording, a QR code will appear on the screen. The QR code leads to an offline gallery from which employees can save their recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
Alternative uses
To get the most out of your investment, you have the following options:

The need for investment
The price for purchasing a photo box adapted in this way starts at around €4,400 plus VAT and is therefore worthwhile for organizations with around 100 employees or more.
Of course, there is also the option to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is purchased directly.
