The mission goal
The employees in your company are given the option to create and / or update their personal employee photo at a fixed or regularly changing location (e.g. in the casino or the company canteen or HR department).
It is essential that this is achieved in the form of a self-service process and that additional personnel are not required on site.
You give your employees the chance to identify themselves at any time to 100% with their individual employee photo.
The staff photos can be automatically adapted to the appropriate format, removed from disruptive elements in the background and optionally saved in various formats and aspect ratios.
A suggested solution
You place a photo box that is perfect for employee photos in your company (e.g. in the HR department, at the ID office or at the reception in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can sit in front of the photo box, similar to a passport photo machine, and see the instructions for the required actions on the display.
The monitor serves as a touch screen at the same time as an input terminal for the necessary information such as B. Employee ID, first name, last name and / or date of birth.
Alternatively, the photo booth can also be configured so that the data can simply be read in from the employee ID. The employee data collected in this way will later become part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal / external use of the photo can also be set up.
Following the recording of the employee portrait, the background of the recording can be automatically replaced with one or different backgrounds that you have specified. The head of each photo is also located, scaled to a specified size and positioned on the final image at a defined position.
The photo is saved in a size and aspect ratio defined by you (e.g. square for the ActiveDirectory). The name of the file is used to compare the captured image and the internal employee data record. We would be happy to help your IT department define the interface.
A biometric check and a cut to a biometric ID photo are available as an optional expansion stage.
The image output can take place synchronously in different dimensions.

Of course, each file can also be “personalized” with a company logo and / or the name and position of the employee will appear directly on the picture.

How does the staff get their photo?
So that not only the CRM system or the ActiveDirectory can benefit from the new recordings, employees can choose between three different ways to get their photo as a file.
- Download from an offline gallery via QR code
The photo box provides a private WLAN which the employee has to dial into.
At the end of the sequence, a QR code is displayed on the screen. That QR code leads to an offline gallery from which the employee can load his pictures. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box. - Enter the e-mail address at the end of the photo sequence.

At the end of the sequence, a code is displayed or printed out on the touchscreen, which the employee can use to download the original recording as well as the different versions for the different target systems.

To get the most out of your investment, you have the following options:

The need for investment
The price for purchasing a photobox optimized in this way starts at around € 4,400 plus VAT and is worthwhile for organizations with around 100 employees or more.
Of course, there is also the option to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is taken over immediately.
