The mission goal
The staff in your company have the option of taking and/or updating the personal employee photo at a fixed or periodically changing location (e.g. in the casino or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that extra personnel are not needed on the spot.
You give your employees the chance to identify themselves completely around the clock with their personal employee photo.
The personal photos can be automatically adapted to the ideal format, freed from annoying elements in the background and optionally saved in many sizes and aspect ratios.
Our proposed solution
You position a photo box set up for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photo box and read the operating instructions for the necessary steps on the monitor, as with the passport photo machine.
The monitor serves as a touch screen in parallel as an input terminal for the required information such as e.g. B. Personnel identifier, name, surname and/or date of birth.
Alternatively, the photo box can also be set up so that the data can be read directly from the employee ID card. The employee data collected in this way is then a component of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal / external use of the recording can also be displayed.
After the picture of the employee has been taken, the background of the picture can be automatically exchanged for one or several backgrounds specified by you. Likewise, the head is located for each photo, adjusted to a specified size and positioned in a defined position on the final image.
The image is saved in a size and aspect ratio defined by you (eg square for Active Directory). The file name is used to compare the photo taken with the internal employee data record. We would be happy to support your IT department in defining the interface.
A biometric check and an adaptation to a biometric ID photo are available as additional extensions.
The image output can take place in parallel in various dimensions.

Of course, each file can also be “personalized” with logos and/or the name and position of the employee can be included in the image.

How does the employee get the picture?
So that the CRM system or the ActiveDirectory alone does not come into possession of the new photos, there are three different ways for staff to choose to receive their image as a file.
- Download from an online gallery
At the end of the photo sequence, a code is displayed or printed on the touchscreen, which the staff can use to load their original photo and the different sizes for the various target systems. - Download via QR code from an offline gallery
The photo box provides its own WLAN which the staff has to dial into.
At the end of the sequence, a QR code is displayed on the screen. That QR code leads to an offline gallery where staff can download their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Entry of the email address at the end of the photo sequence.
The photo taken is sent immediately to the employee's email address.
Additional deployment options
To get the most out of your investment, you have the following options:

The need for investment
The price for purchasing a photo box optimized in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 or more employees.
Of course, there is also the chance to try out the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is retained.
