The use of a photo box for employee photos
The staff in your company have the option of creating and / or updating their personal employee photo at a fixed location or at a regularly changing location (e.g. in the dining room or the company canteen or HR department).
It is important that this is done in the form of a self-service process and that you do not need additional staff on site.
You give your employees the opportunity to always fully identify themselves with their individual employee photo.
The staff photos are automatically cut to the ideal format, freed from disturbing elements in the background and optionally saved in different dimensions and aspect ratios.
A suggested solution
You position a photo booth perfect for employee photos in your company (e.g. in the HR department, at the ID or at the entrance in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There the employees can sit in front of the photo box, similar to a passport photo machine, and read the instructions for the necessary actions on the touchscreen.
The monitor serves as a touchscreen at the same time as an input terminal for the required information such as B. Personnel number, first name, last name and / or date of birth.
Alternatively, the Photo Box can also be configured so that the data can be read out directly from the company ID card. The information collected in this way will later become an element of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a release option for internal / external use of the employee profile.
Following the photograph of the employee portrait, the background of the photo can be automatically exchanged for one or many of the backrounds you have specified. The head of each photo is also analyzed, scaled to a specified size and positioned on the final image at a defined position.
The image is saved in a size and format you specify (e.g. square for the ActiveDirectory). The name of the picture is used to compare the saved portrait and the in-house employee data record. We would be happy to support your IT department in specifying the interface.
A biometric check and an adaptation to a biometric ID photo are available as additional extensions.
The image output can take place in parallel in various sizes.

Of course, each file can also be “personalized” by means of a company logo and / or the name and position of the employee are directly visible on the picture.

How does the employee get the photo?
So that not only the CRM system or the ActiveDirectory can enjoy the new photos, there are three different ways for staff to choose from to get their picture as a file.

In this case, the captured photo is immediately sent to the employee's mailbox. - Download via QR code from an offline gallery
The photo box provides its own WLAN which the staff has to dial into.
At the end of the photo sequence, a QR code is displayed on the screen. The QR code leads to the offline gallery in which the staff can save their pictures. In contrast to the online gallery, this path only goes in the immediate vicinity of the photobox. - Download from an online gallery
At the end of the photo sequence, a code is displayed or printed out on the touchscreen, which the staff can use to load their original photo and the various versions for the various target systems.
