The use of a photo box for employee photos

The staff in your company have the option of photographing and/or updating the personal employee photo at a fixed location or at a periodically changing location (e.g. in the dining room or the company canteen or HR department).
It is essential that this is achieved in the form of a self-service process and that additional on-site personnel are not required.
You give your employees the option to always fully identify themselves with their own employee photo.

The personal photos are automatically adjusted to the ideal format, freed from disturbing elements in the background and, if desired, saved in many sizes and aspect ratios.

One possible solution

You position a photo box set up for employee photos in your company (e.g. in the Katine, at the ID or at the entrance in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photo box in a similar way to a passport photo machine and see the instructions for the necessary actions on the screen.

The screen serves as a touch screen at the same time as an input terminal for the necessary data such as e.g. B. ID, name, surname and/or date of birth.
Alternatively, the photo box can also be set up in such a way that the data can simply be read in from the company ID card. The data recorded in this way is then an element of the file name of the employee photo taken.
Optionally, a privacy screen can also be displayed with a confirmation option for internal/external use of the image.

After the employee portrait has been photographed, the background of the photo can be automatically replaced with one or more backgrounds specified by you. The head is also determined for each photo, scaled to a specified size and placed in a defined position on the final image.

The image is saved in a size and aspect ratio you specify (eg square for Active Directory). The name of the file is used to compare the photo taken with the internal employee data record. We would be happy to help your IT department clarify the interface.

A biometric check and a cut to a biometric ID photo are available as an extra expansion stage.
Image output can be synchronous in some forms.
So you always have the right photo for
WhatsApp & Co, Instagram, Twitter, Outlook, Facebook
etc. ready.

Of course, each file can also be “personalized” with a company logo and/or the name and position of the employee can be immediately visible on the image.

How does the employee get the picture?

So that not only the CRM system or the ActiveDirectory get the new photos, the staff can choose between three different ways to get their photo as a file.

1. Download via QR code from an offline gallery
   The photo box provides its own WLAN which the staff has to dial into.
   At the end of the sequence, a QR code is displayed on the screen. The QR code leads to an offline gallery from which staff can download their recordings. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo box.
2. Enter the email address at the end of the photo sequence.
   The photo taken is immediately sent to the employee's e-mail inbox.
3. Download from an online gallery
   At the end of the recording, a code is displayed on the screen or printed out, which the staff can use to download their original photo and the different versions for the various target systems.

Other deployment options

In order to make the best possible use of the acquisition, you have the following possible uses:

• Photo attraction at customer events & meetings
• Use at staff parties (summer party, Christmas party ...}
• Recording of biometric passport photos and ID photos
• Use at trade fairs to issue personalized “flyers”
• Recordings of groups of visitors, e.g. after a tour of the company
• Employee photos (as explained above)

The need for investment

The price for purchasing a photo box optimized in this way starts at around €4,400 plus VAT and is already worthwhile for companies with around 100 employees or more.
Of course, there is also the opportunity to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the system is taken over directly.
