The mission goal

The staff in your company are given the opportunity to create and/or update the individual employee photo at a fixed or periodically changing location (e.g. in the casino or the company canteen or HR department).
It is essential that this is achieved in the form of a self-service process and that additional personnel are not required on site.
You give your staff the opportunity to fully identify themselves around the clock with their individual employee photo.

The personal photos are automatically adapted to the best format, removed from annoying elements in the background and saved in different dimensions and aspect ratios if desired.

Our proposed solution

You position a photo box optimized for employee photos in your company (e.g. in the Katine, at the ID or at the entrance in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photo box, similar to a passport photo machine, and see the instructions for the necessary actions on the monitor.

The monitor serves as a touchscreen at the same time as an input terminal for the necessary information such as e.g. B. Employee identifier, first name, last name and/or date of birth.
Alternatively, the photo booth can also be set up in such a way that the data can be read directly from the employee ID card. The data collected in this way is then part of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal/external assignments of the employee portrait can also be displayed.

After photographing the employee portrait, the background of the image can be automatically replaced with one or many backgrounds specified by you. The head is also located for each photo, adjusted to a specified size and placed in a defined position on the final image.

The photo is saved in a size and aspect ratio you specify (eg square for Active Directory). The name of the picture is used to compare the picture taken with the in-house employee data record. We would be happy to support your IT department in specifying the import interface.

A biometric check and a cut to a biometric ID photo are available as an option.
The image output can take place in parallel in various dimensions.
So you always have the ideal photo for

Of course, each file can also be “personalized” with company logos and/or the employee's name and position will be immediately included in the image.

How does the employee get the picture?

To ensure that the CRM system or Active Directory alone does not get hold of the new photos, there are three different ways for staff to get their photo as a file.

  1. Download from an online gallery
    At the end of the sequence, a code is displayed on the touchscreen or printed out, which the staff can use to download their original photo and the different sizes for the different target systems.
  2. Entry of the email address at the end of the photo sequence.
    Then the captured photo is immediately sent to the employee's email address.
  3. Download from an offline gallery via QR code
    The Photo Box provides its own WLAN which the staff has to dial into.
    At the end of the recording, a QR code is displayed on the touchscreen. This QR code leads to an offline gallery where staff can download their images. In contrast to the online gallery, this way only works in the immediate vicinity of the photo booth.

The cost frame

The cost of purchasing a photobooth adapted in this way starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course, there is also the opportunity to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the photo box is taken over directly.
