What should be achieved?

The staff in your company get the chance to photograph and/or update the individual employee photo at a fixed or regularly changing location (e.g. in the casino or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that additional employees are not needed on site.
You give your employees the chance to identify themselves to 100% at any time with their personal employee photo.

The staff photos can be automatically adapted to the appropriate format, freed from disturbing elements in the background and, if desired, saved in different dimensions and aspect ratios.

Our proposed solution

You place a photobooth set up for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a quiet corner.
The space requirement is around 1.5mx 1m.
There, the employees will stand in front of the photobooth in a similar way to a passport photo machine and see the operating instructions for the necessary actions on the monitor.

The screen serves as a touch screen in parallel as an input terminal for the required information such as e.g. B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photobooth can also be programmed in such a way that the data is read in immediately from the company ID card. The information recorded in this way is then part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be presented with a confirmation option for internal/external use of the recording.

After the employee portrait has been photographed, the background of the recording can be automatically exchanged for one or several backgrounds specified by you. The head is also identified for each photo, scaled to a specified size and positioned at a defined position on the final image.

The photo is saved in a size and format you specify (eg square for Active Directory). The file name is used to compare the photo taken with the internal employee data record. We would be happy to support your IT department in determining the import interface.

A biometric check and a cut to a biometric ID photo are available as an option.
The image can be output in different forms at the same time.
So you always have the ideal photo for
WhatsApp & Co, LinkedIn, Instagram, Facebook, Twitter, XING
etc. at hand.

Of course, each file can also be “personalized” with company logos and/or the employee's name and position will be immediately visible on the image.

How does the employee get the photo?

So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the staff to choose from to get their picture digitally.

1. Download from an online gallery
   At the end of the recording, a code is displayed on the screen or printed out, which the staff can use to download their original photo and the different sizes for the different target systems.
2. Download from an offline gallery via QR code
   The photo box provides its own WLAN that the staff has to dial into.
   At the end of the recording, a QR code is displayed on the touchscreen. That QR code leads to the offline gallery from which the staff can download their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
3. Enter the email address at the end of the photo sequence.
   In this case, the captured photo is immediately sent to the employee's mailbox.

Other deployment options

To make the most of your investment, you have the following options:

• Employee photos (as already explained)

The cost frame

The investment for the purchase of a photo box adapted in this way starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course, there is also the option to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is purchased immediately.
