What should be achieved?
The staff in your company get the opportunity to create and/or update the individual employee photo at a fixed location or at regularly alternating locations (e.g. in the casino or the company canteen or human resources department).
It is important that this takes place in the form of a self-service process and that additional personnel are not required on site.
You give your staff the option to identify themselves completely around the clock with their personal employee photo.
The personal photos can be automatically optimized to the optimal format, freed from disturbing elements in the background and optionally saved in several shapes and aspect ratios.
Our proposed solution
You place a photo box set up for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will sit in front of the photo box, just like with a passport photo machine, and read the operating instructions for the necessary actions on the screen.
The monitor serves as a touch screen at the same time as an input terminal for the required information such as e.g. B. Personnel identifier, first name, last name and/or date of birth.
Alternatively, the photo booth can also be set up in such a way that the data can simply be read from the company ID card. The information recorded in this way is then part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be presented with a release option for internal/external use of the image.
After the employee portrait has been taken, the background of the image can be automatically replaced with one or several backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and placed in a defined position on the final image.
The image is saved in a size and format specified by you (eg square for Active Directory). The file name is used to compare the photo taken with the internal employee data record. We would be happy to support your IT department in defining the import interface.
A biometric check and a cut to a biometric ID photo are available as an option.
The image output can happen simultaneously in several formats.
So you always have the best possible photo for
Facebook, LinkedIn, WhatsApp & Co, Outlook, Instagram, Twitter, XING
etc. ready.
Of course, each file can also be “branded” with company logos and/or the name and position of the employee can be directly visible on the image.

How does the employee get the picture?
So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the staff to choose to also get their photo digitally.
- Download via QR code from an offline gallery
The photo box provides a private WLAN that the staff has to dial into.
At the end of the recording, a QR code is displayed on the touchscreen. That QR code leads to the offline gallery from which the staff can download their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo booth. - Download from an online gallery
At the end of the sequence, a code is displayed on the screen or printed, which the staff can use to download their original recording and the different sizes for the different target systems. - Enter the e-mail address at the end of the photo sequence.
Then the captured photo is immediately sent to the employee's email inbox.
Additional deployment options
In order to make the best possible use of your investment, you have the following options:
- Recordings of groups of visitors, e.g. after a tour of the company
- Employee photos (as explained above)
- Use at trade fairs to produce personalized “flyers”
- Use at staff parties (summer party, Christmas party ...}
- Creation of biometric passport photos and ID photos

The cost frame
The price for purchasing a photo box optimized in this way starts at around €4,400 plus VAT and is therefore worthwhile for organizations with around 100 employees or more.
Of course, there is also the opportunity to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the photo box is kept immediately.
