What should be achieved?
The staff in your company have the option of photographing and/or updating their own employee photo at a fixed location or at periodically alternating locations (e.g. in the casino or the company canteen or human resources department).
It is essential that this takes place in the form of a self-service process and that extra staff on site are not required.
You give your teams the option to fully identify themselves at any time with their individual employee photo.
The personal photos can be independently adapted to the ideal format, freed from disturbing elements in the background and optionally saved in several sizes and aspect ratios.
A suggested solution
You position a photobooth set up for employee photos in your company (e.g. in the HR department, at the ID card office or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photo box and see the operating instructions for the necessary steps on the monitor, similar to the photo booth.
The screen serves as a touch screen in parallel as an input terminal for the required data such as e.g. B. Personnel number, name, surname and/or date of birth.
Alternatively, the photo box can also be programmed in such a way that the data is read out immediately from the company ID card. The data collected in this way is then later part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a confirmation option for internal/external use of the image can also be set up.
After the employee picture has been photographed, the background of the recording can be automatically replaced with one or more backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and placed in a specified position on the final image.
The recording is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison is made between the saved portrait and the in-house employee data record via the name of the file. We would be happy to support your IT department in defining the interface.
A biometric check and an adaptation to a biometric ID photo are available as additional extensions.
The image output can take place in parallel in different sizes.

Of course, each file can also be “personalized” with company logos and/or the employee's name and position will be immediately included in the image.

How does the photographed person get the picture?
So that the CRM system or the ActiveDirectory alone does not come into possession of the new photos, there are three different ways for the staff to get their photo as a file.
- Enter the e-mail address at the end of the photo sequence.
The photo taken is sent directly to the employee's mailbox. - Download from an online gallery
At the end of the recording, a code is displayed on the screen or printed out, which the staff can use to download their original photo and the various versions for the various target systems. - Download via QR code from an offline gallery
The photo box provides its own WLAN which the staff has to dial into.
At the end of the recording, a QR code is displayed on the screen. This QR code leads to an offline gallery where staff can download their photos. In contrast to the online gallery, this path only works in the direct vicinity of the Photo Box.
Further deployment options
In order to make the best possible use of your investment, you have the following options:

The need for investment
The investment for the purchase of a photobooth adapted in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the option to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is taken over immediately.
