What should be achieved?
The employees in your company have the opportunity to create and/or update their personal employee photo at a fixed location or at a rotating location (e.g. in the dining room or company canteen or HR department).
It is important that this is achieved in the form of a self-service process and that additional personnel are not needed on site.
You give your teams the opportunity to identify themselves to 100% around the clock with their own employee photo.
The personal photos can be automatically optimized to the appropriate format, freed from disturbing elements in the background and optionally saved in many dimensions and aspect ratios.
A suggested solution
You place a photo box set up for employee photos in your company (e.g. in the HR department, at the ID card office or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photo box in a similar way to the photo booth and see the instructions for the necessary steps on the display.
The monitor serves as a touch screen at the same time as an input terminal for the necessary information such as B. Personnel number, first name, family name and/or date of birth.
Alternatively, the Photo Box can also be set up so that the data can be read directly from the employee ID card. The information collected in this way is then part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a confirmation option for internal/external use of the image can also be set up.
After photographing the employee portrait, the background of the image can be automatically replaced with one or several backgrounds specified by you. Likewise, the head of each photo is analyzed, scaled to a specified size and placed in a defined position on the final image.
The recording is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison between the recorded image and the internal employee data record takes place via the file name. We would be happy to help your IT department determine the interface.
A biometric check and an adaptation to a biometric ID photo is available as an optional extension.
The image output can happen simultaneously in several dimensions.

How does the employee get the picture?
So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the employee to choose to get his picture as a file.
- Download from an online gallery
At the end of the recording, a code is displayed on the touchscreen or printed out, which the employee can use to load his original photo and the various formats for the various target systems. - Enter the email address at the end of the photo sequence.
Then the captured photo is immediately sent to the employee's email inbox. - Download via QR code from an offline gallery
The photo box provides a private WLAN that the employee must dial into.
At the end of the recording, a QR code will appear on the screen. The QR code leads to an offline gallery where employees can save their photos. In contrast to the online gallery, this path is only possible in the immediate vicinity of the photo box.
