The mission goal

The employees in your company have the option of photographing and/or updating their own employee photo at a fixed location or at regularly changing locations (e.g. in the casino or the company canteen or HR department).
It is essential that this is the case in the form of a self-service process and that additional on-site personnel are not required.
You give your staff the opportunity to always identify 100% with their own employee photo.

The personal photos are automatically optimized to the right format, freed from disturbing elements in the background and optionally saved in a number of shapes and aspect ratios.

A suggested solution

You place a photo booth set up for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photo box, just like with the passport photo machine, and see the operating instructions for the necessary steps on the screen.

The monitor serves as a touch screen at the same time as an input terminal for the necessary information, e.g. B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photobooth can also be configured so that the data is read directly from the employee ID card. The data collected in this way then subsequently becomes part of the file name of the employee photo taken.
Optionally, a data protection screen can be displayed with a release option for internal / external use of the photo.

Following the recording of the employee portrait, the background of the recording can be automatically replaced with one or several backgrounds specified by you. Likewise, the head of each photo is analyzed, scaled to a specified size and positioned in a specified position on the final image.

The image is saved in a size and aspect ratio specified by you (eg square for Active Directory). The name of the picture is used to compare the portrait taken with the internal employee data set. We would be happy to support your IT department in specifying the interface.

A biometric check and an adaptation to a biometric ID photo are also available.
The image output can take place in parallel in various dimensions.

Logically, each file can also be “branded” with the company's logo and/or the employee's name and position will appear right on the image.

How does the employee get the picture?

So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the employee to get his picture as a file.

1. Download from an online gallery
   At the end of the photo sequence, a code is displayed or printed on the touchscreen, which the employee can use to copy his original photo and the various sizes for the various target systems.
2. Enter the email address at the end of the photo sequence.
   The photo taken is sent directly to the employee's mailbox.
3. Download from an offline gallery via QR code
   The photobooth provides a private WLAN which the employee has to dial into.
   At the end of the photo sequence, a QR code is displayed on the touchscreen. This QR code leads to the offline gallery from which the employee can download his recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.

In order to make the most of the purchase, you have the following options:

The need for investment

The investment for purchasing a photo box optimized in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the opportunity to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is taken over immediately.
