The mission goal
The employees in your company have the opportunity to create and / or update their individual employee photo at a fixed or regularly alternating location (e.g. in the casino or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that you do not need extra employees on site.
You give your teams the opportunity to identify themselves completely around the clock with their own employee photo.
The staff photos are automatically adapted to the optimal format, freed from annoying elements in the background and, if desired, saved in certain dimensions and aspect ratios.
The solution
You position a photo box that is perfect for employee photos in your company (e.g. in the HR department, at the ID or at the entrance in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can sit in front of the photo box, similar to a passport photo machine, and read the operating instructions for the necessary actions on the screen.
The monitor serves as a touchscreen at the same time as an input terminal for the required information such as B. Personal identification, first name, last name and / or date of birth.
Alternatively, the Photo Box can also be configured so that the data can simply be read from the employee ID. The data collected in this way then becomes a component of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a release option for internal / external use of the photo.
After the employee portrait has been recorded, the background of the recording can be automatically exchanged for one or more backgrounds that you have specified. The head of each photo is also analyzed, scaled to a specified size and placed on the final image at a specified location.
The recording is saved in a size and aspect ratio defined by you (e.g. square for the ActiveDirectory). The file name is used to compare the saved image with the in-house employee data record. We would be happy to support your IT department in specifying the interface.
A biometric check and an adaptation to a biometric ID photo are available as an extra extension.
The image output can take place synchronously in various dimensions.

Of course, each file can also be “branded” with logos and / or the name and position of the employee will be directly visible on the picture.

How does the employee get the picture?
So that the CRM system or the ActiveDirectory alone does not come into possession of the new recordings, there are three different ways for employees to receive their photos digitally.
- Download from an online gallery
At the end of the recording, a code is displayed or printed on the touchscreen, which the employee can use to download the original recording as well as the various versions for the various target systems. - Download via QR code from an offline gallery
The photo box provides a private WLAN which the employee has to dial into.
At the end of the recording, a QR code is displayed on the screen. The QR code leads to the offline gallery from which the employee can download his recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the Photo Box. - Enter the e-mail address at the end of the photo sequence.
Then the captured photo is sent directly to the employee's inbox.
Other possible uses
In order to make the best possible use of your investment, you have the following options:

The need for investment
The investment for purchasing a photo box adapted in this way starts at around € 4,400 plus VAT and is worthwhile for companies with around 100 employees.
Of course there is also the possibility to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is kept immediately.
