The mission goal
The employees in your company are given the opportunity to create and/or update their own employee photo at a fixed or periodically changing location (e.g. in the casino or the company canteen or HR department).
It is important that this is the case in the form of a self-service process and that you do not need additional personnel on site.
You give your teams the opportunity to identify themselves completely around the clock with their personal employee photo.
The staff photos can be automatically cut to the right format, freed from disturbing elements in the background and optionally saved in several dimensions and aspect ratios.
A suggested solution
You position a photo box that is perfect for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will sit down in front of the photo box in a similar way to a passport photo machine and see the operating instructions for the necessary actions on the touchscreen.
The monitor serves as a touchscreen at the same time as an input terminal for the required information such as B. Employee identifier, first name, last name and/or date of birth.
Alternatively, the photo box can also be programmed so that the data can be read directly from the employee ID card. The employee data recorded in this way then becomes an element of the file name of the employee photo taken.
Optionally, a data protection screen can also be set up with a confirmation option for internal/external assignments of the employee portrait.
After the employee portrait has been taken, the background of the image can be automatically replaced with one or various backgrounds specified by you. Likewise, the head is located for each photo, scaled to a specified size and placed in a defined position on the final image.
The image is saved in a size and format you specify (eg square for Active Directory). A comparison between the saved portrait and the in-house employee data record takes place via the file name. We would be happy to help your IT department specify the interface.
A biometric check and a cut to a biometric ID photo are available as optional add-ons.
The image output can take place synchronously in several dimensions.

Logically, each file can also be “personalized” with company logos and/or the name and position of the employee will be immediately visible on the image.

How does the employee get his picture?
So that not only the CRM system or the Active Directory gets the benefit of the new photos, the employee has three different ways to choose from to get his photo digitally as well.
- Download via QR code from an offline gallery
The photo box provides a private WLAN which the employee has to dial into.
At the end of the sequence, a QR code is displayed on the touchscreen. The QR code leads to the offline gallery where employees can download their pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Download from an online gallery
At the end of the photo sequence, a code is displayed on the touchscreen or printed out, which the employee can use to download his original photo and the various formats for the different target systems. - Enter the email address at the end of the photo sequence.
In this case, the captured photo is immediately sent to the employee's mailbox.
Alternative uses
In order to get the most out of your investment, you have the following options:

The need for investment
The price for purchasing a photo box optimized in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 or more employees.
Of course, there is also the chance to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the system is kept immediately.
Customer ratings
Since the implementation of the system in 2019, two photo boxes have been permanently installed in this country and in Switzerland.
