The use of a photo box for employee photos
The employees in your company are given the opportunity to photograph and/or update the individual employee photo at a fixed location or at a rotating location (e.g. in the casino or company canteen or HR department).
It is important that this is the case in the form of a self-service process and that additional employees are not needed on site.
You give your teams the option to fully identify themselves at any time with their individual employee photo.
The personal photos are automatically adjusted to the ideal format, freed from disturbing elements in the background and, if desired, saved in different dimensions and aspect ratios.
Our proposed solution
You position a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID card office or at the reception in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can sit in front of the photobooth, similar to the photo booth, and read the instructions for the necessary actions on the touchscreen.
The monitor serves as a touch screen at the same time as an input terminal for the necessary data such as e.g. B. Employee ID, name, surname and/or date of birth.
Alternatively, the Photo Box can also be configured so that the data is read directly from the employee ID card. The information collected in this way is later part of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal / external use of the photo can also be set up.
After the employee photo has been taken, the background of the photo can be automatically replaced with one or many backgrounds specified by you. The head is also located for each photo, scaled to a specified size and placed in a specified location on the final image.
The recording is saved in a size and aspect ratio specified by you (eg square for the Active Directory). A comparison is made between the saved photo and the internal employee data record via the name of the picture. We would be happy to help your IT department specify the interface.
A biometric check and an adaptation to a biometric ID photo are available as an extra extension.
The image output can take place in several dimensions at the same time.
So you always have the best photo for
LinkedIn, Outlook, XING, WhatsApp & Co
etc. ready.
Of course, each file can also be “personalized” with company logos and/or the employee's name and position will appear directly on the image.

How does the employee get their photo?
To ensure that the CRM system or Active Directory alone does not get hold of the new photos, there are three different ways for the employee to get his photo digitally.
- Download via QR code from an offline gallery
The photo box provides a private WLAN which the employee has to dial into.
At the end of the sequence, a QR code is displayed on the screen. The QR code leads to the offline gallery where employees can download their recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Enter the email address at the end of the photo sequence.

At the end of the sequence, a code is displayed on the screen or printed out, which the employee can use to download their original photo and the various formats for the various target systems.
Additional deployment options
In order to get the most out of your purchase, you have the following possible uses:

The need for investment
The price for purchasing a photo box adapted in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the chance to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is purchased immediately.
Customer ratings
Since the system was introduced in 2019, two systems have been permanently installed in Germany and Zurich.
