The use of a photo box for employee photos
The employees in your company get the opportunity to create and/or update their own employee photo at a fixed or periodically changing location (e.g. in the casino or the company canteen or human resources department).
It is important that this takes place in the form of a self-service process and that extra employees are not needed on site.
You give your teams the chance to identify themselves 100% with their personal employee photo.
The personal photos are automatically optimized to the appropriate format, freed from disturbing elements in the background and optionally saved in many shapes and aspect ratios.
Our proposed solution
You place a photo box perfect for employee photos in your company (e.g. in the Katine, at the ID or at the entrance in a quiet corner.
The space requirement is around 1.5mx 1m.
There, the employees can stand in front of the photo booth and read the instructions for the necessary actions on the touchscreen, just like at a passport photo machine.
The monitor serves as a touch screen at the same time as an input terminal for the required data such as B. Personnel identifier, name, surname and/or date of birth.
Alternatively, the photo box can also be set up so that the data can be read directly from the employee ID card. The data recorded in this way then subsequently becomes part of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal/external use of the employee portrait can also be set up.
After the employee portrait has been taken, the background of the image can be automatically replaced with one or more backgrounds specified by you. The head is also located for each photo, scaled to a specified size and positioned at a defined point on the final image.
The image is saved in a size and aspect ratio specified by you (eg square for Active Directory). The file name is used to compare the photo taken with the internal employee data record. We would be happy to help your IT department determine the import interface.
A biometric check and an adaptation to a biometric ID photo are available as an additional expansion stage.
The image output can take place simultaneously in various dimensions.

Of course, each file can also be "branded" with the company logo and/or the name and position of the employee will appear directly on the image.

How does the employee get the picture?
So that not only the CRM system or the Active Directory can benefit from the new images, there are three different ways for the employee to receive his image as a file.
- Download from an online gallery
At the end of the sequence, a code is displayed on the screen or printed out, which the employee can use to download the original recording and the various versions for the various target systems. - Download via QR code from an offline gallery
The photo box provides a private WLAN that the employee must dial into.
At the end of the photo sequence, a QR code is displayed on the touchscreen. The QR code leads to an offline gallery from which employees can download their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Enter the email address at the end of the photo sequence.
The captured photo is then sent to the employee's mailbox.

The need for investment
The cost of purchasing a photo box adapted in this way starts at around €4,400 plus VAT and pays off for companies with around 100 or more employees.
Of course there is also the option to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the system is kept directly.
