The mission goal

The employees in your company are given the opportunity to create and/or update their personal employee photo at a fixed location or at periodically alternating locations (e.g. in the casino or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that extra staff is not needed on site.
You give your employees the chance to identify themselves at any time to 100% with their individual employee photo.

The staff photos are automatically cut to the best format, annoying elements in the background are removed and, if desired, saved in different formats and aspect ratios.

The solution

You position a photo box set up for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will sit in front of the photo box, similar to a passport photo machine, and read the operating instructions for the necessary steps on the screen.

The monitor serves as a touchscreen at the same time as an input terminal for the required information such as B. ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be set up in such a way that the data is read directly from the employee ID card. The data collected in this way then subsequently becomes part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be presented with a confirmation option for internal/external use of the photo.

After photographing the employee picture, the background of the photo can be automatically replaced with one or more backgrounds specified by you. Likewise, the head of each photo is analyzed, adjusted to a specified size and positioned at a specified location on the final image.

The photo is saved in a size and format you specify (eg square for Active Directory). The name of the picture is used to compare the photo taken with the internal employee data record. We would be happy to support your IT department in defining the interface.

A biometric check and a cut to a biometric ID photo are also available.
The image output can take place in different sizes at the same time.
So you always have the ideal photo for
XING, the CRM system, Facebook, Outlook, Twitter, WhatsApp & Co, Instagram, LinkedIn
etc. ready.

Of course, each file can also be “branded” with the company logo and/or the employee's name and position can be immediately included in the image.

How does the employee get the picture?

So that not only the CRM system or the Active Directory comes into possession of the new pictures, there are three different ways for the employee to choose to also get his picture digitally.

1. Download from an offline gallery via QR code
   The Photo Box provides a private WLAN which the employee has to dial into.
   At the end of the sequence, a QR code is displayed on the screen. This QR code leads to an offline gallery where employees can download their pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
2. Download from an online gallery
   At the end of the photo sequence, a code is displayed or printed on the touchscreen, which the employee can use to download his original photo and the various formats for the various target systems.
3. Enter the email address at the end of the photo sequence.
   The photo taken is sent immediately to the employee's email address.

Further deployment options

To get the most out of your investment, you have the following options:

• Pictures of groups of visitors, e.g. after a presentation
• Production of biometric passport photos and ID photos
• Use at employee parties (summer party, Christmas party ...}

The need for investment

The price for purchasing a photo box adapted in this way starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course, there is also the opportunity to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the photo box is purchased immediately.
