The use of a photo box for employee photos

The employees in your company have the option of photographing and/or updating the individual employee photo at a fixed location or at periodically alternating locations (e.g. in the dining room or company canteen or HR department).
It is essential that this is achieved in the form of a self-service process and that no extra personnel is needed on site.
You give your employees the chance to identify themselves around the clock to 100% with their personal employee photo.

The staff photos can be independently adapted to the best format, freed from disturbing elements in the background and, if desired, saved in different formats and aspect ratios.

A suggested solution

You position a photo box optimized for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photo box and see the instructions for the necessary actions on the monitor, similar to the photo booth.

The monitor serves as a touchscreen at the same time as an input terminal for the necessary information such as e.g. B. ID, first name, last name and/or date of birth.
Alternatively, the Photo Box can also be set up in such a way that the data is read in immediately from the company ID card. The information recorded in this way then subsequently becomes an element of the file name of the employee photo taken.
Optionally, a privacy screen can also be displayed with a sharing option for internal/external use of the image.

After photographing the employee portrait, the background of the image can be automatically replaced with one or many backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and positioned in a specified position on the final image.

The image is saved in a size and format defined by you (eg square for Active Directory). A comparison is made between the saved image and the internal employee data record via the name of the file. We would be happy to help your IT department define the interface.

As an extra option, a biometric check and a cut on a biometric ID photo are available.
The image output can take place synchronously in several dimensions.
So you always have the ideal photo for
XING, Instagram, Outlook, Twitter, LinkedIn, the CRM system, Facebook
etc. ready.

Of course, each file can also be “branded” using the logo and/or the employee's name and position will be immediately visible on the image.

How did the staff get the photo?

So that not only the CRM system or the Active Directory can enjoy the new photos, there are three different ways for the employee to choose from to receive his photo as a file.

1. Enter the email address at the end of the photo sequence.
   The photo taken is then sent to the employee's mailbox.
2. Download via QR code from an offline gallery
   The photo box provides a private WLAN that the employee has to dial into.
   At the end of the recording, a QR code is displayed on the screen. That QR code leads to an offline gallery from which the employee can download his photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
3. Download from an online gallery
   At the end of the photo sequence, a code is displayed on the screen or printed out, which the employee can use to download their original photo and the various formats for the various target systems.

Other deployment options

In order to get the most out of your investment, you have the following options:

The cost frame

The investment for the purchase of a photobooth adapted in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the option to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is kept immediately.
