What should be achieved?

The employees in your company get the opportunity to photograph and/or update their personal employee photo at a fixed or periodically changing location (e.g. in the casino or the company canteen or HR department).
It is important that this is achieved in the form of a self-service process and that additional personnel are not required on site.
You give your staff the opportunity to identify themselves to 100% at any time with their personal employee photo.

The personal photos can be automatically cut to the optimal format, separated from disturbing elements in the background and, if desired, saved in several shapes and aspect ratios.

Our proposed solution

You place a photo box set up for employee photos in your company (e.g. in the HR department, at the ID card office or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photo box, similar to the photo booth, and read the instructions for the necessary steps on the display.

The screen serves as a touchscreen at the same time as an input terminal for the necessary information such as B. ID, first name, last name and/or date of birth.
Alternatively, the Photo Box can also be set up in such a way that the data is read directly from the employee ID card. The data collected in this way will later become part of the file name of the employee photo taken.
Optionally, a data protection screen can be displayed with a confirmation option for internal / external use of the photo.

After the employee picture has been taken, the background of the picture can be automatically exchanged for one or different backgrounds specified by you. The head is also determined for each photo, scaled to a specified size and positioned at a defined position on the final image.

The recording is saved in a size and aspect ratio specified by you (eg square for Active Directory). The name of the picture is used to compare the saved photo with the internal employee data record. We would be happy to help your IT department define the interface.

A biometric check and an adaptation to a biometric ID photo are available as an additional expansion stage.
The image output can be done synchronously in many sizes.
So you always have the right photo for
Instagram, the CRM system, LinkedIn, XING, Twitter
etc. within easy reach.

Of course, each file can also be “personalized” with the company logo and/or the employee's name and position will be directly visible on the image.

How does the staff get their photo?

So that not only the CRM system or the Active Directory can benefit from the new photos, there are three different ways for the employee to choose to receive his photo as a file.

1. Enter the email address at the end of the photo sequence.
   The photo taken is immediately sent to the employee's e-mail address.
2. Download from an offline gallery via QR code
   The Photo Box provides its own WLAN which the employee has to dial into.
   At the end of the sequence, a QR code will appear on the screen. That QR code leads to the offline gallery from which the employee can save their photos. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box.
3. Download from an online gallery
   At the end of the recording, a code is displayed on the touchscreen or printed out, which the employee can use to download their original photo and the different sizes for the different target systems.

Additional uses

In order to make the best possible use of your investment, you have the following options:

• Photo attraction at customer events & congresses
• Photos of groups of visitors, e.g. after a tour of the company
• Use at employee parties (summer party, Christmas party ...}
• Recording of biometric passport photos and ID photos
• Employee photos (as described above)
• Use at trade fairs to produce personalized “flyers”

The cost frame

The price for purchasing a photo box adapted in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the opportunity to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the system is taken over directly.

Customer ratings

Since the system was introduced in 2019, two systems have been permanently set up in Germany and Switzerland.
