What should be achieved?

The employees in your company have the opportunity to photograph and/or update the individual employee photo at a fixed or periodically changing location (e.g. in the casino or the company canteen or HR department).
It is important that this is the case in the form of a self-service process and that you do not need extra staff on site.
You give your workforce the chance to identify themselves to 100% at any time with their personal employee photo.

The staff photos are automatically optimized to the best format, freed from disturbing elements in the background and optionally saved in various sizes and aspect ratios.

A suggested solution

You position a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID card or at the reception in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can stand in front of the photo box, analogously to a passport photo machine, and see the instructions for the necessary actions on the monitor.

The screen serves as a touch screen at the same time as an input terminal for the necessary information such as e.g. B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be set up in such a way that the data is simply read in from the employee ID card. The information recorded in this way then becomes part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a confirmation option for internal / external use of the employee profile.

After the employee portrait has been taken, the background of the image can be automatically replaced with one or more backgrounds specified by you. The head is also determined for each photo, scaled to a specified size and placed in a specified position on the final image.

The recording is saved in a size and aspect ratio you specify (eg square for Active Directory). The name of the picture is used to compare the portrait taken with the internal employee data record. We would be happy to support your IT department in clarifying the interface.

A biometric check and a cut to a biometric ID photo are available as an option.
The image output can take place in parallel in various dimensions.
So you always have the ideal photo for
XING, LinkedIn, Twitter, Instagram
etc. at hand.

Of course, each file can also be “personalized” with the company's logo and/or the employee's name and position can be immediately visible on the image.

How do the staff get their picture?

So that not only the CRM system or the Active Directory can benefit from the new photos, the employee has three different ways to choose from to receive his photo digitally.

1. Download via QR code from an offline gallery
   The photobox provides a private WLAN which the employee has to dial into.
   At the end of the photo sequence, a QR code is displayed on the screen. The QR code leads to an offline gallery from which the employee can copy their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
2. Enter the email address at the end of the photo sequence.
   Then the captured photo is immediately sent to the employee's email inbox.
3. Download from an online gallery
   At the end of the recording, a code is displayed on the screen or printed out, which the employee can use to download their original photo and the different sizes for the different target systems.

Further deployment options

In order to make the best possible use of the acquisition, you have the following options:

• Pictures of groups of visitors, e.g. after a tour of the company
• Use at trade fairs to create personalized “flyers”
• Employee photos (as already explained)
• Photo attraction at customer events & conferences
• Production of biometric passport photos and ID photos

The need for investment

The investment for the purchase of a photobooth adapted in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the opportunity to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the system is kept immediately.
