The mission goal

The employees in your company are given the opportunity to photograph and/or update their own employee photo at a fixed location or at alternating locations (e.g. in the casino or company canteen or HR department).
It is important that this is done in the form of a self-service process and that extra staff are not required on site.
You give your employees the opportunity to identify themselves completely around the clock with their individual employee photo.

The personal photos can be automatically adapted to the appropriate format, removed from disturbing elements in the background and, if desired, saved in various sizes and aspect ratios.

One possible solution

You place a photo box perfect for employee photos in your company (e.g. in the HR department, at the ID office or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will stand in front of the photo box in a similar way to the photo booth and see the operating instructions for the necessary actions on the monitor.

The monitor serves as a touch screen at the same time as an input terminal for the necessary information such as B. Employee ID, name, surname and/or date of birth.
Alternatively, the photo box can also be programmed so that the data can be read directly from the company ID card. The information collected in this way then subsequently becomes part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be set up with a confirmation option for internal/external use of the image.

After the photograph of the employee picture has been taken, the background of the photo can be automatically replaced with one or various backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and positioned in a defined position on the final image.

The recording is saved in a size and format specified by you (eg square for the Active Directory). A comparison is made between the saved photo and the in-house employee data record via the name of the file. We would be happy to support your IT department in clarifying the import interface.

A biometric check and an adaptation to a biometric ID photo are available as an extra expansion stage.
The image output can happen in parallel to different extents.
So you always have the perfect photo for
XING, Outlook, Facebook, the CRM system, WhatsApp & Co, Instagram, LinkedIn, Twitter
etc. ready.

Of course, each file can also be “personalized” with the company logo and/or the name and position of the employee will be immediately visible on the image.

How does the employee get his picture?

So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the employee to get his photo as a file.

1. Download from an offline gallery via QR code
   The photo box provides its own WLAN which the employee has to dial into.
   At the end of the sequence, a QR code is displayed on the screen. That QR code leads to an offline gallery where the employee can save their images. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
2. Enter the email address at the end of the photo sequence.
   The photo taken is sent directly to the employee's mailbox.
3. Download from an online gallery
   At the end of the photo sequence, a code is displayed on the screen or printed out, which the employee can use to download his original photo and the different sizes for the different target systems.

Additional deployment options

In order to get the most out of your investment, you have the following options:

• Employee photos (as explained above)

The need for investment

The cost of purchasing a customized photo box starts at around €4,400 plus VAT, making it worthwhile for companies with around 100 employees or more.
Of course there is also the possibility to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the system is kept immediately.
