What should be achieved?
The employees in your company get the chance to photograph their own employee photo and/or update it at a fixed location or at a rotating location (e.g. in the casino or the company canteen or human resources department).
It is essential that this takes place in the form of a self-service process and that you do not need extra employees on site.
You give your workforce the opportunity to identify themselves to 100% with their individual employee photo.
The personal photos are automatically cut to the appropriate format, removed from disturbing elements in the background and, if desired, saved in various shapes and aspect ratios.
A suggested solution
You can place a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photo box and read the instructions for the necessary actions on the screen, as with the passport photo machine.
The monitor serves as a touch screen at the same time as an input terminal for the necessary information such as B. Employee ID, name, surname and/or date of birth.
Alternatively, the Photo Box can also be configured in such a way that the data is read directly from the company ID card. The employee data recorded in this way is then subsequently part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be displayed with a release option for internal / external use of the employee profile.
After the employee photo has been taken, the background of the photo can be automatically replaced with one or several backgrounds specified by you. The head of each photo is also determined, adjusted to a specified size and placed in a specified position on the final image.
The recording is saved in a size and aspect ratio specified by you (eg square for the Active Directory). A comparison is made between the recorded image and the in-house employee data record via the name of the file. We would be happy to support your IT department in clarifying the import interface.
A biometric check and a cut for a biometric ID photo are available as an extra extension.
The image output can be done simultaneously in several formats.

Of course, each file can also be “branded” with company logos and/or the employee's name and position will be immediately visible on the image.

How does the photographed person get his picture?
So that not only the CRM system or the Active Directory comes into possession of the new pictures, there are three different ways for the employee to choose from to get his picture as a file.

The photo taken is sent directly to the employee's mailbox. - Download via QR code from an offline gallery
The photo box provides a private WLAN that the employee must dial into.
At the end of the recording, a QR code is displayed on the screen. The QR code leads to the offline gallery from which employees can download their recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Download from an online gallery
At the end of the sequence, a code is displayed on the touchscreen or printed out, which the employee can use to copy his original image and the different sizes for the various target systems.

The cost of purchasing a perfect photo box starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the chance to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the system is adopted immediately.
