The use of a photo box for employee photos
The employees in your company are given the opportunity to photograph and/or update their personal employee photo at a fixed location or at periodically alternating locations (e.g. in the casino or the company canteen or human resources department).
It is important that this is achieved in the form of a self-service process and that additional personnel are not needed on site.
You give your employees the option to identify themselves to 100% around the clock with their personal employee photo.
The personal photos can be automatically cut to the optimal format, removed from annoying elements in the background and, if desired, saved in certain dimensions and aspect ratios.
One possible solution
You place a photo box perfect for employee photos in your company (e.g. in the HR department, at the ID or at the entrance in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photobooth, just like with the passport photo machine, and see the instructions for the necessary steps on the touchscreen.
The monitor serves as a touch screen at the same time as an input terminal for the necessary information such as e.g. B. Personnel number, first name, last name and/or date of birth.
Alternatively, the photo booth can also be set up in such a way that the data can be read directly from the company ID card. The employee data recorded in this way is then subsequently an element of the file name of the employee photo taken.
Optionally, a data protection screen can be set up with a checkbox for internal / external use of the image.
After photographing the employee picture, the background of the photo can be automatically exchanged for one or more backgrounds specified by you. The head is also located for each photo, adjusted to a specified size and positioned in a specified position on the final image.
The recording is saved in a size and aspect ratio specified by you (eg square for the Active Directory). The name of the file is used to compare the portrait taken with the internal employee data record. We would be happy to support your IT department in specifying the interface.
A biometric check and an adaptation to a biometric ID photo are also available.
Image output can happen simultaneously in many formats.

Of course, each file can also be “branded” with the company logo and/or the name and position of the employee can be immediately visible on the image.

How does the photographed person get the photo?
To ensure that the CRM system or Active Directory is not the only one to benefit from the new photos, there are three different ways for the employee to receive their picture as a file.
- Download from an online gallery
At the end of the recording, a code is displayed on the screen or printed out, which the employee can use to download their original photo and the different sizes for the various target systems. - Enter the email address at the end of the photo sequence.
Then the captured photo is immediately sent to the employee's mailbox. - Download via QR code from an offline gallery
The photo box provides a private WLAN that the employee must dial into.
At the end of the sequence, a QR code is displayed on the touchscreen. That QR code leads to an offline gallery where employees can download their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
Additional deployment options
In order to use the investment ideally, the following application options are open to you:
- Use at employee parties (summer party, Christmas party ...}
- Creation of biometric passport photos and ID photos
- Photo attraction at customer events & congresses
- Use at trade fairs to issue personalized “flyers”

The need for investment
The investment for the purchase of a photo box adapted in this way starts at around €4,400 plus VAT and pays off for companies with around 100 employees or more.
Of course, there is also the option to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the system is kept immediately.
