The use of a photo box for employee photos
The employees in your company have the opportunity to photograph and/or update their personal employee photo at a fixed location or at periodically alternating locations (e.g. in the dining room or company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that you do not need extra employees on site.
You give your workforce the option to identify themselves to 100% at any time with their individual employee photo.
The personal photos can be automatically optimized to the ideal format, removed from disturbing elements in the background and optionally saved in various formats and aspect ratios.
The solution
You can place a photo booth optimized for employee photos in your company (e.g. in the HR department, at the ID card or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will stand in front of the photo booth in a similar way to a photo booth and read the instructions for the necessary steps on the screen.
The monitor serves as a touch screen at the same time as an input terminal for the necessary information such as e.g. B. Personnel ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be set up in such a way that the data can be read directly from the business card. The information recorded in this way is later part of the file name of the employee photo taken.
Optionally, a privacy screen can also be displayed with a confirmation option for internal/external use of the photo.
After the picture of the employee has been taken, the background of the picture can be automatically exchanged for one or various backgrounds specified by you. Likewise, the head of each photo is identified, scaled to a specified size and positioned in a defined position on the final image.
The image is saved in a size and aspect ratio that you specify (eg square for Active Directory). A comparison is made between the photographed image and the internal employee data record via the file name. We would be happy to support your IT department in clarifying the import interface.
A biometric check and an adaptation to a biometric ID photo are available as additional extensions.
The image output can take place in many forms at the same time.
So you always have the ideal photo for
Facebook, WhatsApp & Co, Instagram, the CRM system, Outlook, LinkedIn, Twitter
etc. at hand.
Of course, each file can also be “personalized” using company logos and/or the name and position of the employee will appear directly on the image.

How does the employee get his picture?
To ensure that the CRM system or Active Directory alone does not get hold of the new pictures, there are three different ways for the employee to choose to also receive their picture digitally.
- Download via QR code from an offline gallery
The photo box provides its own WLAN which the employee has to dial into.
At the end of the sequence, a QR code is displayed on the screen. The QR code leads to the offline gallery where employees can save their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Download from an online gallery
At the end of the sequence, a code is displayed on the screen or printed out, which the employee can use to load his original photo and the various sizes for the various target systems. - Enter the email address at the end of the photo sequence.
In this case, the captured photo is immediately sent to the employee's mailbox.
Other possible uses
In order to use the investment ideally, the following application options are open to you:
- Photo attraction at customer events & meetings

- Use at trade fairs to issue personalized “flyers”
- Photos of groups of visitors, for example after a presentation
The cost frame
The investment for the purchase of a photo box adapted in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course there is also the possibility to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the system is taken over directly.
Customer ratings
Since the system was introduced in 2019, two photo boxes have been permanently installed in Germany and Zurich.
