The use of a photo box for employee photos
The employees in your company have the opportunity to photograph and / or update their personal employee photo at a fixed or regularly alternating location (e.g. in the casino or the company canteen or HR department).
It is important that this is achieved in the form of a self-service process and that extra employees are not needed on the spot.
This gives your staff the option to fully identify themselves at any time with their own employee photo.
The staff photos are automatically optimized to the optimal format, freed from disturbing elements in the background and optionally saved in different dimensions and aspect ratios.
A suggested solution
You position a photobox that is perfect for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There the employees will sit down in front of the photo box in the same way as with a passport photo machine and see the instructions for the necessary steps on the display.
The screen serves as a touchscreen in parallel as an input terminal for the necessary data such as B. Employee ID, name, surname and / or date of birth.
Alternatively, the photo box can also be configured so that the data can be read out immediately from the company ID card. The information collected in this way is then an element of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal / external use of the image can also be set up.
Following the photograph of the employee picture, the background of the recording can be automatically exchanged for one or various background settings you have specified. The head is also analyzed for each photo, adjusted to a specified size and placed in a specified position on the final image.
The recording is saved in a size and aspect ratio determined by you (e.g. square for the ActiveDirectory). The file name is used to compare the captured image and the internal employee data record. We would be happy to support your IT department in determining the connection.
A biometric check and an adaptation to a biometric ID photo are available as options.
The image output can take place in parallel in different dimensions.

How did the staff get the photo?
So that not only the CRM system or the ActiveDirectory can benefit from the new images, employees can choose between three different ways to receive their image as a file.
- Download via QR code from an offline gallery
The photo box provides a private WLAN which the employee has to dial into.
At the end of the recording, a QR code is displayed on the touchscreen. This QR code leads to the offline gallery where the employee can download his photos. In contrast to the online gallery, this path only goes in the direct vicinity of the photo box. - Enter the email address at the end of the photo sequence.
Then the captured photo will be sent to the employee's email address. - Download from an online gallery
At the end of the sequence, a code is displayed or printed out on the screen, which the employee can use to download his or her original recording and the different formats for the various target systems.

The need for investment

Of course, there is also the option of trying out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
