The mission goal
The employees in your company get the opportunity to photograph and/or update the individual employee photo at a fixed location or at regularly changing locations (e.g. in the casino or the company canteen or HR department).
It is essential that this is achieved in the form of a self-service process and that additional personnel are not required on site.
You give your employees the option to fully identify themselves at any time with their personal employee photo.
The personal photos are automatically cut to the best possible format, freed from disturbing elements in the background and, if desired, saved in different dimensions and aspect ratios.
A suggested solution
You position a photo box perfect for employee photos in your company (e.g. in the Katine, at the ID or at the entrance in a relaxed corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can sit in front of the photo box and see the operating instructions for the necessary steps on the screen, just like with the passport photo machine.
The screen serves as a touch screen at the same time as an input terminal for the necessary data such as B. ID, name, surname and/or date of birth.
Alternatively, the photobooth can also be configured in such a way that the data is read directly from the company ID card. The employee data recorded in this way will later become an element of the file name of the employee photo taken.
Optionally, a disclaimer screen with a release option for internal/external use of the image can also be displayed.
After the photograph of the employee picture has been taken, the background of the picture can be automatically replaced with one or several backgrounds specified by you. Likewise, the head of each photo is determined, adjusted to a specified size and positioned in a defined position on the final image.
The recording is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison between the saved image and the internal employee data record takes place via the name of the image. We would be happy to help your IT department specify the connection.
A biometric check and an adaptation to a biometric ID photo are available as additional extensions.
The image output can happen in several forms at the same time.

Of course, each file can also be “branded” using the company logo and/or the name and position of the employee can be directly visible on the image.

How does the photographed person get the photo?
So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the employee to get his photo as a file.
- Download from an online gallery
At the end of the sequence, a code is displayed or printed on the touchscreen, which the employee can use to load his original recording and the various versions for the various target systems. - Enter the email address at the end of the photo sequence.
The captured photo is immediately sent to the employee's mailbox. - Download via QR code from an offline gallery
The photobox provides its own WLAN which the employee has to dial into.
At the end of the photo sequence, a QR code will appear on the screen. That QR code leads to an offline gallery where the employee can download their images. In contrast to the online gallery, this way only works in the immediate vicinity of the photo booth.

The cost frame
The price for purchasing a photo box perfected in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 or more employees.
Of course, there is also the option to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is kept directly.
