The use of a photo box for employee photos
The employees in your company have the opportunity to create and/or update their personal employee photo at a fixed location or at a rotating location (e.g. in the casino or company canteen or HR department).
It is important that this happens in the form of a self-service process and that you do not need additional staff on site.
You give your employees the option to identify themselves to 100% at any time with their personal employee photo.
The personal photos are automatically cut to the optimal format, freed from disturbing elements in the background and optionally saved in a number of formats and aspect ratios.
Our proposed solution
You position a photo booth optimized for employee photos in your company (e.g. in the Katine, at the ID or at the entrance in a quiet corner.
The space requirement is around 1.5mx 1m.
There, the employees can sit in front of the photo box, similar to a passport photo machine, and read the operating instructions for the necessary actions on the monitor.
The screen serves as a touchscreen at the same time as an input terminal for the necessary information such as B. Personnel identifier, first name, last name and/or date of birth.
Alternatively, the Photo Box can also be set up in such a way that the data can simply be read from the company ID card. The data collected in this way is then an element of the file name of the employee photo taken.
Optionally, a disclaimer screen with a release option for internal/external use of the employee portrait can also be displayed.
After the photograph of the employee picture has been taken, the background of the recording can be automatically exchanged for one or several backgrounds specified by you. Likewise, the head of each photo is identified, scaled to a specified size and positioned at a specified location on the final image.
The recording is saved in a size and format specified by you (eg square for Active Directory). The file name is used to compare the photo taken with the internal employee data record. We would be happy to help your IT department define the interface.
A biometric check and a cut to a biometric ID photo are also available.
The image output can take place in different dimensions at the same time.

Logically, each file can also be “branded” with company logos and/or the name and position of the employee will appear directly on the image.

How does the photographed person get the picture?
So that not only the CRM system or the Active Directory can enjoy the new pictures, there are three different ways for the employee to get his picture digitally.
- Download from an online gallery
At the end of the photo sequence, a code is displayed or printed on the touchscreen, which the employee can use to load his original photo and the different sizes for the different target systems. - Download via QR code from an offline gallery
The Photobooth provides its own WLAN, which the employee must dial into.
At the end of the recording, a QR code will appear on the screen. This QR code leads to the offline gallery from which employees can download their pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box. - Enter the e-mail address at the end of the photo sequence.
The photo taken is then sent to the employee's mailbox.

The need for investment
The cost of purchasing a photo box optimized in this way starts at around €4,400 plus VAT and is already worthwhile for companies with around 100 employees or more.
Of course, there is also the opportunity to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is taken over immediately.
