The mission goal
The employees in your company have the chance to photograph and / or update the individual employee photo at a fixed or periodically changing location (e.g. in the casino or the company canteen or HR department).
It is essential that this is achieved in the form of a self-service process and that you do not need extra personnel on site.
This gives your teams the option of fully identifying themselves around the clock with their personal employee photo.
The staff photos are automatically optimized to the appropriate format, freed from annoying elements in the background and optionally saved in different dimensions and aspect ratios.
The solution
You place a photo box optimized for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a relaxed corner.
The space requirement is approx. 1.5 mx 1 m.
There, employees can sit down in front of the photo booth, similar to the passport photo machine, and see instructions for the necessary steps on the display.
The monitor serves as a touch screen at the same time as an input terminal for the necessary information such as B. Employee ID, name, family name and / or date of birth.
Alternatively, the Photo Box can also be set up so that the data can be read out immediately from the employee ID card. The employee data recorded in this way then becomes a component of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal / external use of the photo can also be displayed.
After the employee portrait has been taken, the background of the photo can automatically be exchanged for one or more backgrounds you have specified. The head of each photo is also located, adjusted to a specified size and positioned on the final image at a specified position.
The photo is saved in a size and aspect ratio specified by you (e.g. square for the ActiveDirectory). A comparison between the saved portrait and the internal employee data record takes place via the name of the file. We would be happy to support your IT department in specifying the import interface.
A biometric check and a cut to a biometric ID photo are available as an optional extension.
The image output can take place in parallel in various forms.

Logically, each file can also be “personalized” with a company logo and / or the name and position of the employee will appear directly on the picture.

How does the employee get his photo?
So that the CRM system or the ActiveDirectory alone does not come into possession of the new photos, there are three different ways for the employee to receive his picture digitally.
- Download from an online gallery
At the end of the sequence, a code is displayed or printed out on the touchscreen, which the employee can use to copy down his or her original photo and the different versions for the various target systems. - Enter the email address at the end of the photo sequence.
The captured photo is then sent to the employee's mailbox. - Download via QR code from an offline gallery
The Photo Box provides a private WLAN that the employee has to dial into.
At the end of the sequence, a QR code is displayed on the touchscreen. This QR code leads to an offline gallery from which the employee can download his recordings. In contrast to the online gallery, this path only goes in the direct vicinity of the photo box.
Alternative uses
To get the most out of your investment, you have the following options:

The cost frame

Of course, there is also the option to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the photo box is kept directly.
