The mission goal

The employees in your company have the option of creating and/or updating their personal employee photo at a fixed location or at periodically alternating locations (e.g. in the casino or the company canteen or human resources department).
It is essential that this takes place in the form of a self-service process and that additional employees are not needed on site.
This gives your teams the option of fully identifying themselves around the clock with their personal employee photo.

The personal photos can be automatically optimized to the right format, freed from disturbing elements in the background and saved in several shapes and aspect ratios if desired.

One possible solution

You place a photo box perfect for employee photos in your company (e.g. in the personnel department, at the ID office or at the reception in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There the employees will stand in front of the photo box, similar to a passport photo machine, and read the instructions for the necessary actions on the monitor.

The screen serves as a touch screen in parallel as an input terminal for the necessary information such as B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be programmed so that the data is read directly from the employee ID card. The information recorded in this way is then part of the file name of the employee photo taken.
Optionally, a privacy screen can also be presented with a sharing option for internal/external use of the photo.

After photographing the employee portrait, the background of the recording can be automatically replaced with one or various backgrounds specified by you. The head is also determined for each photo, scaled to a specified size and placed in a defined position on the final image.

The photo is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison between the saved photo and the internal employee data record takes place via the file name. We would be happy to help your IT department define the connection.

As an extra option, a biometric check and a cut on a biometric ID photo are available.
The image output can take place in parallel in various dimensions.

Of course, each file can also be “personalized” with company logos and/or the name and position of the employee can be immediately visible on the image.

How does the photographed person get the photo?

To ensure that the CRM system or Active Directory alone does not get hold of the new photos, there are three different ways for the employee to choose to receive their picture as a file.

1. Download via QR code from an offline gallery
   The Photobooth provides a private WLAN which the employee must dial into.
   At the end of the recording, a QR code will appear on the screen. That QR code leads to the offline gallery from which the employee can download their recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
2. Download from an online gallery
   At the end of the photo sequence, a code is displayed on the touchscreen or printed out, which the employee can use to download their original photo and the different formats for the different target systems.
3. Enter the e-mail address at the end of the photo sequence.
   Then the captured photo is sent immediately to the employee's email address.

Other possible uses

To get the most out of your investment, you have the following options:

The need for investment

The cost of purchasing a photobooth adapted in this way starts at around €4,400 plus VAT and pays off for companies with around 100 or more employees.
Of course, there is also the chance to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the photo box is kept directly.
