What should be achieved?

The employees in your company have the opportunity to photograph and/or update the individual employee photo at a fixed location or at alternating locations (e.g. in the casino or the company canteen or HR department).
It is important that this is achieved in the form of a self-service process and that additional personnel are not needed on site.
This gives your employees the option to always fully identify themselves with their individual employee photo.

The personal photos can be automatically adapted to the optimal format, removed from disturbing elements in the background and optionally saved in different dimensions and aspect ratios.

One possible solution

You place a photo box set up for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a quiet corner.
The space requirement is around 1.5mx 1m.
There, the employees can stand in front of the photo box in a similar way to a passport photo machine and read the instructions for the necessary steps on the touchscreen.

The monitor serves as a touchscreen at the same time as an input terminal for the necessary information such as B. Personnel number, name, surname and/or date of birth.
Alternatively, the photo box can also be set up in such a way that the data can be read immediately from the employee ID card. The information collected in this way is then part of the file name of the employee photo taken.
Optionally, a data protection screen can also be set up with a confirmation option for internal / external use of the employee profile.

After the employee portrait has been photographed, the background of the image can be automatically replaced with one or different backgrounds specified by you. The head of each photo is also analyzed, scaled to a specified size and positioned in a defined position on the final image.

The photo is saved in a size and format specified by you (eg square for Active Directory). The name of the picture is used to compare the photo taken with the internal employee data record. We would be happy to help your IT department define the import interface.

A biometric check and an adaptation to a biometric ID photo are available as an extra extension.
The image output can take place synchronously to various extents.
So you always have the right photo for
Facebook, Twitter, Instagram, Outlook, the CRM system, WhatsApp & Co
etc. at hand.

Logically, each file can also be “personalized” using the company logo and/or the name and position of the employee will appear directly on the image.

How does the employee get their photo?

To ensure that the CRM system or Active Directory alone does not get hold of the new photos, there are three different ways for employees to get their photo digitally.

1. Download via QR code from an offline gallery
   The Photobooth provides a private WLAN which the employee must dial into.
   At the end of the photo sequence, a QR code is displayed on the screen. That QR code leads to an offline gallery from which the employee can save their pictures. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
2. Enter the email address at the end of the photo sequence.
   Then the captured photo is sent directly to the employee's email inbox.
3. Download from an online gallery
   At the end of the recording, a code is displayed on the touchscreen or printed out, which the employee can use to download the original recording and the different versions for the various target systems.

Alternative uses

In order to get the most out of your investment, you have the following options:

• Employee photos (as described above)
• Use at employee parties (summer party, Christmas party ...}
• Pictures of groups of visitors, e.g. after a lecture
• Use at trade fairs to create personalized “flyers”

The need for investment

The price for purchasing a photo box optimized in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 or more employees.
Of course, there is also the opportunity to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the later purchase if the photo box is bought immediately.
