The use of a photo box for employee photos
The employees in your company have the option of creating and/or updating their own employee photo at a fixed location or at locations that change on a regular basis (e.g. in the casino or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that additional personnel are not needed on site.
You give your workforce the opportunity to always fully identify themselves with their personal employee photo.
The personal photos are automatically optimized to the ideal format, freed from disturbing elements in the background and optionally saved in a number of formats and aspect ratios.
Our proposed solution
You place a photobooth set up for employee photos in your company (e.g. in the HR department, at the ID office or at the entrance in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photo box and read the instructions for the necessary steps on the monitor, just like with the photo booth.
The monitor serves as a touch screen in parallel as an input terminal for the required information, e.g. B. Personnel number, first name, last name and/or date of birth.
Alternatively, the photo box can also be configured so that the data can simply be read from the company ID card. The information recorded in this way then becomes part of the file name of the employee photo taken.
Optionally, a disclaimer screen with a checkbox for internal / external use of the image can also be displayed.
After the employee portrait has been taken, the background of the image can be automatically replaced with one or various backgrounds specified by you. The head is also located for each photo, scaled to a specified size and positioned in a specified position on the final image.
The image is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison between the saved portrait and the internal employee data record takes place via the name of the picture. We would be happy to support your IT department in clarifying the connection.
A biometric check and an adaptation to a biometric ID photo is available as an optional extension.
The image output can take place in parallel in different dimensions.

Of course, each file can also be “personalized” with company logos and/or the employee's name and position can be directly visible on the image.

How did the staff come to the picture?
So that not only the CRM system or the Active Directory can enjoy the new photos, there are three different ways for the employee to get his picture digitally.

In this case, the captured photo is immediately sent to the employee's mailbox. - Download from an online gallery
At the end of the recording, a code is displayed on the touchscreen or printed out, which the employee can use to download his original photo as well as the different versions for the different target systems. - Download via QR code from an offline gallery
The photo box provides its own WLAN which the employee has to dial into.
At the end of the sequence, a QR code is displayed on the screen. That QR code leads to an offline gallery from which the employee can download their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.

The cost frame
The price for purchasing a photo box optimized in this way starts at around €4,400 plus VAT and is already worthwhile for companies with around 100 employees or more.
Of course, there is also the chance to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the photo box is taken over immediately.
