The mission goal

The employees in your company have the opportunity to photograph and/or update their own employee photo at a fixed location or at alternating locations (e.g. in the dining room or the company canteen or HR department).
It is essential that this is the case in the form of a self-service process and that you do not need additional staff on site.
You give your workforce the opportunity to identify themselves to 100% with their own employee photo.

The personal photos are automatically cut to the appropriate format, irritating elements are removed from the background and optionally saved in several dimensions and aspect ratios.

A suggested solution

You place a photo box optimized for employee photos in your company (e.g. in the human resources department, at the ID office or at reception in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees will sit in front of the photo box, similar to the photo booth, and read the instructions for the necessary steps on the display.

The screen serves as a touch screen at the same time as an input terminal for the necessary data, e.g. B. Employee identifier, first name, last name and/or date of birth.
Alternatively, the photobooth can also be set up in such a way that the data can be read immediately from the company ID card. The information collected in this way is then part of the file name of the employee photo taken.
Optionally, a data protection screen can also be displayed with a release option for internal / external use of the recording.

Following the photograph of the employee picture, the background of the recording can be automatically exchanged for one or different backgrounds specified by you. Likewise, the head is located for each photo, scaled to a specified size and positioned in a specified position on the final image.

The photo is saved in a size and aspect ratio defined by you (eg square for Active Directory). A comparison between the saved portrait and the internal employee data record takes place via the name of the file. We would be happy to support your IT department in clarifying the interface.

A biometric check and an adaptation to a biometric ID photo are also available.
The image can be output in parallel in various sizes.
So you always have the right photo for
WhatsApp & Co, Outlook, LinkedIn, the CRM system, XING, Facebook, Instagram, Twitter
etc. within easy reach.

Of course, each file can also be "personalized" with a company logo and/or the name and position of the employee will be visible directly on the image.

How does the employee get the picture?

So that the CRM system or Active Directory alone does not get hold of the new photos, there are three different ways for the employee to get his photo digitally.

1. Enter the e-mail address at the end of the photo sequence.
   Then the captured photo is immediately sent to the employee's mailbox.
2. Download from an online gallery
   At the end of the photo sequence, a code is displayed on the screen or printed out, which the employee can use to copy his original photo and the various sizes for the various target systems.
3. Download via QR code from an offline gallery
   The photo box provides a private WLAN which the employee has to dial into.
   At the end of the recording, a QR code is displayed on the screen. The QR code leads to an offline gallery from which employees can load their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.

Alternative deployment options

In order to take full advantage of the purchase, you have the following options:

• Production of biometric passport photos and ID photos

The cost frame

The investment for the purchase of a photo box perfected in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the chance to try out the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is kept immediately.
