The mission goal

The employees in your company have the opportunity to create and/or update the individual employee photo at a fixed location or at a location that changes on a regular basis (e.g. in the dining room or the company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that additional employees are not needed on site.
You give your staff the opportunity to identify themselves completely around the clock with their personal employee photo.

The staff photos can be automatically optimized to the right format, removed from disturbing elements in the background and optionally saved in a number of sizes and aspect ratios.

Our proposed solution

You place a photo booth perfect for employee photos in your company (e.g. in the personnel department, at the ID office or at the entrance in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can stand in front of the photo box in a similar way to a passport photo machine and read the operating instructions for the necessary actions on the display.

The screen serves as a touchscreen in parallel as an input terminal for the necessary information, e.g. B. ID, first name, last name and/or date of birth.
Alternatively, the photo booth can also be programmed in such a way that the data is simply read from the employee ID card. The information recorded in this way is later part of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal/external use of the employee portrait can also be displayed.

After the employee portrait has been taken, the background of the photo can be automatically replaced with one or different backgrounds specified by you. The head is also determined for each photo, scaled to a specified size and positioned at a defined position on the final image.

The image is saved in a size and format you specify (eg square for Active Directory). A comparison between the saved portrait and the internal employee data record takes place via the name of the file. We would be happy to support your IT department in clarifying the interface.

A biometric check and an adaptation to a biometric ID photo are available as an extra option.
The image output can take place in several sizes at the same time.

Of course, each file can also be "personalized" with company logos and/or the name and position of the employee can be directly visible on the image.

How does the employee get his picture?

So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the employee to get his photo digitally.

1. Download from an online gallery
   At the end of the sequence, a code is displayed on the screen or printed, which the employee can use to download his original recording and the various formats for the various target systems.
2. Enter the e-mail address at the end of the photo sequence.
   Then the captured photo is immediately sent to the employee's mailbox.
3. Download via QR code from an offline gallery
   The photobox provides its own WLAN which the employee has to dial into.
   At the end of the sequence, a QR code is displayed on the screen. This QR code leads to the offline gallery where employees can download their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo booth.

In order to get the most out of your investment, you have the following options:

The need for investment

The investment for the purchase of such a perfected photo box starts at around € 4,400 plus VAT and is worthwhile for companies with around 100 employees.
Of course, there is also the option to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is kept directly.
