The use of a photo box for employee photos

The employees in your company have the opportunity to photograph and/or update the individual employee photo at a fixed location or at a periodically changing location (e.g. in the casino or the company canteen or human resources department).
It is essential that this is the case in the form of a self-service process and that extra personnel are not needed on site.
You give your staff the opportunity to identify themselves to 100% at any time with their personal employee photo.

The staff photos can be automatically adapted to the appropriate format, removed from annoying elements in the background and optionally saved in various sizes and aspect ratios.

A suggested solution

You position a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID card office or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will sit down in front of the photo box and read the instructions for the necessary actions on the touchscreen, just like with the passport photo machine.

The screen serves as a touchscreen at the same time as an input terminal for the necessary information such as e.g. B. ID, first name, last name and/or date of birth.
Alternatively, the Photo Box can also be configured so that the data is read directly from the employee ID card. The employee data recorded in this way then becomes part of the file name of the employee photo taken.
Optionally, a data protection screen can also be displayed with a confirmation option for internal/external use of the image.

After photographing the employee portrait, the background of the picture can be automatically exchanged for one or various backgrounds specified by you. The head is also determined for each photo, scaled to a specified size and positioned at a defined point on the final image.

The recording is saved in a size and aspect ratio specified by you (eg square for Active Directory). A comparison is made between the photographed image and the in-house employee data record via the name of the file. We would be happy to help your IT department specify the import interface.

A biometric check and a cut to a biometric ID photo are available as an optional extension.
The image output can take place in different dimensions at the same time.

Logically, each file can also be “branded” with company logos and/or the employee's name and position will also be visible on the image.

How does the employee get his photo?

So that the CRM system or Active Directory alone does not get hold of the new photos, there are three different ways for employees to receive their photo as a file.

1. Enter the email address at the end of the photo sequence.
   The captured photo is then sent to the employee's email address.
2. Download from an online gallery
   At the end of the sequence, a code is displayed on the screen or printed, which the employee can use to download his original recording and the different sizes for the different target systems.
3. Download via QR code from an offline gallery
   The photo box provides its own WLAN which the employee has to dial into.
   At the end of the recording, a QR code is displayed on the touchscreen. The QR code leads to the offline gallery from which the employee can save his pictures. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box.

The cost frame

Of course, there is also the possibility to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the photo box is taken over immediately.
