The mission goal

The employees in your company are given the opportunity to photograph and / or bring up to date their personal employee photo at a fixed or periodically alternating location (e.g. in the dining room or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that extra personnel are not required on site.
You give your employees the option to identify themselves completely around the clock with their personal employee photo.

The staff photos are automatically cut to the best format, removed from annoying elements in the background and, if desired, saved in various shapes and aspect ratios.

The solution

You can position a photo booth that is perfect for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, employees can stand in front of the photo box, similar to the passport photo machine, and read the instructions for the necessary actions on the display.

The monitor serves as a touchscreen at the same time as an input terminal for the required information such as B. ID, first name, last name and / or date of birth.
Alternatively, the photo box can also be set up so that the data can be read in directly from the company ID card. The data recorded in this way then becomes part of the file name of the employee photo taken.
Optionally, a data protection screen can also be displayed with a release option for internal / external use of the photo.

After the employee portrait has been recorded, the background of the recording can automatically be exchanged for one or various backgrounds you have specified. The head is also determined for each photo, scaled to a specified size and placed on the final image at a defined point.

The photo will be saved in a size and aspect ratio you have specified (e.g. square for the ActiveDirectory). The file name is used to compare the saved portrait and the in-house employee data set. We would be happy to support your IT department in specifying the connection.

As an extra option, a biometric check and a cut on a biometric ID photo are available.
The image output can take place synchronously in different formats.

Logically, each file can also be “branded” with company logos and / or the name and position of the employee are directly on the picture.

How does the employee get his photo?

So that not only the CRM system or the ActiveDirectory get the new photos, the employee has three different ways to choose to receive his picture digitally.

1. Download from an offline gallery via QR code
   The photobox provides a private WLAN that the employee has to dial into.
   At the end of the photo sequence, a QR code is displayed on the touchscreen. That QR code leads to the offline gallery from which the employee can download his pictures. In contrast to the online gallery, this path only goes in the immediate vicinity of the photo box.
2. Download from an online gallery
   At the end of the photo sequence, a code is displayed or printed out on the touchscreen, which the employee can use to download the original image and the various sizes for the various target systems.
3. Enter the email address at the end of the photo sequence.
   The photo taken is sent immediately to the employee's email inbox.

Additional uses

To get the most out of your investment, you have the following options:

The need for investment

The investment for purchasing a photo box optimized in this way starts at around € 4,400 plus VAT and is worthwhile for organizations with around 100 employees.
Of course, there is also the option to test the system beforehand on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the system is taken over directly.
