What should be achieved?
The employees in your company have the option of taking and/or updating their own employee photo at a fixed location or at regularly changing locations (e.g. in the casino or company canteen or HR department).
It is essential that this is the case in the form of a self-service process and that no extra staff is needed on the spot.
You give your employees the option to identify themselves completely around the clock with their individual employee photo.
The staff photos can be automatically adjusted to the right format, freed from disturbing elements in the background and optionally saved in several shapes and aspect ratios.
Our proposed solution
You position a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID card office or at the reception in a relaxed corner.
The space requirement is approx. 1.5 mx 1 m.
There, the employees can stand in front of the photo booth in the same way as with a passport photo machine and see the operating instructions for the necessary steps on the monitor.
The monitor serves as a touchscreen and as an input terminal for the necessary information, e.g. B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be set up in such a way that the data can be read immediately from the company ID card. The information recorded in this way is then a component of the file name of the employee photo taken.
Optionally, a disclaimer screen with a confirmation option for internal / external use of the image can also be displayed.
After the photograph of the employee picture has been taken, the background of the photo can be automatically exchanged for one or different backgrounds specified by you. Likewise, the head of each photo is analyzed, scaled to a specified size and placed in a defined position on the final image.
The recording is saved in a size and format you specify (eg square for Active Directory). A comparison is made between the saved photo and the internal employee data record via the name of the file. We would be happy to help your IT department determine the interface.
A biometric check and a cut to a biometric ID photo are available as additional extensions.
The image output can take place at the same time in various dimensions.
So you always have the right photo for
Twitter, LinkedIn, the CRM system, Instagram
etc. within easy reach.
Of course, each file can also be “personalized” with company logos and/or the employee's name and position will be directly visible on the image.

How does the employee get his picture?
So that not only the CRM system or the Active Directory can benefit from the new photos, the employee has three different ways to choose from to receive his photo digitally.
- Download from an online gallery
At the end of the photo sequence, a code is displayed on the touchscreen or printed out, which the employee can use to copy his original photo and the different versions for the various target systems. - Enter the email address at the end of the photo sequence.
The captured photo is sent directly to the employee's email address. - Download via QR code from an offline gallery
The Photobox provides its own WLAN which the employee has to dial into.
At the end of the sequence, a QR code is displayed on the screen. That QR code leads to the offline gallery from which the employee can download his photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.

In order to get the most out of your investment, you have the following options:

The need for investment
The cost of purchasing a photo box perfected in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course there is also the possibility to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the photo box is taken over immediately.
