The use of a photo box for employee photos

The employees in your company get the opportunity to photograph and/or update the individual employee photo at a fixed location or at regularly changing locations (e.g. in the dining room or company canteen or HR department).
It is important that this takes place in the form of a self-service process and that extra staff is not needed on site.
You give your teams the option to fully identify themselves at any time with their personal employee photo.

The staff photos can be automatically cut to the optimal format, freed from annoying elements in the background and optionally saved in various dimensions and aspect ratios.

One possible solution

You position a photo box that is perfect for employee photos in your company (e.g. in the Katine, at the ID or at the entrance in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can sit in front of the photo booth like in a photo booth and read the instructions for the necessary actions on the display.

The monitor serves as a touch screen at the same time as an input terminal for the necessary information such as B. Personnel identifier, name, surname and/or date of birth.
Alternatively, the Photo Box can also be programmed in such a way that the data can be read directly from the employee ID card. The data recorded in this way will later become part of the file name of the employee photo taken.
Optionally, a data protection screen with a release option for internal / external use of the recording can also be displayed.

After photographing the employee portrait, the background of the recording can be automatically exchanged for one or different backgrounds specified by you. The head is also determined for each photo, scaled to a specified size and positioned at a specified location on the final image.

The recording is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison is made between the saved image and the internal employee data record via the name of the file. We would be happy to support your IT department in clarifying the interface.

A biometric check and a cut to a biometric ID photo are available as additional extensions.
The image can be output in several dimensions at the same time.

Logically, each file can also be “branded” using the company logo and/or the name and position of the employee can be immediately visible on the image.

How does the employee get their photo?

To ensure that the CRM system or Active Directory alone does not get hold of the new photos, the employee has three different ways of getting his photo digitally.

1. Download from an online gallery
   At the end of the photo sequence, a code is displayed or printed on the touchscreen, which the employee can use to download the original photo and the various formats for the different target systems.
2. Download via QR code from an offline gallery
   The photobooth provides its own WLAN that the employee has to dial into.
   At the end of the recording, a QR code is displayed on the touchscreen. This QR code leads to an offline gallery from which employees can download their pictures. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box.
3. Enter the email address at the end of the photo sequence.
   Then the captured photo is immediately sent to the employee's email address.

Alternative uses

In order to make the best possible use of the acquisition, you have the following options:

The cost frame

The cost of purchasing a photobooth perfected in this way starts at around €4,400 plus VAT, making it worthwhile for organizations with around 100 or more employees.
Of course, there is also the option to try out the system in advance on a rental basis for €650 + €1/employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is retained.
