The use of a photo box for employee photos

The employees in your company are given the opportunity to photograph and/or update their own employee photo at a fixed location or at alternating locations (e.g. in the casino or the company canteen or HR department).
It is essential that this is the case in the form of a self-service process and that you do not need additional staff on site.
You give your teams the option to fully identify themselves at any time with their individual employee photo.

The staff photos are automatically optimized to the right format, freed from annoying elements in the background and saved in various sizes and aspect ratios if desired.

A suggested solution

You can position a photo booth optimized for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a relaxed corner.
The space requirement is approx. 1.5m x 1m.
There, the employees will stand in front of the photo box, like at a passport photo machine, and read the instructions for the necessary actions on the screen.

The screen serves as a touch screen at the same time as an input terminal for the required information such as e.g. B. Personnel number, first name, family name and/or date of birth.
Alternatively, the photo box can also be configured so that the data is simply read in from the employee ID card. The employee data collected in this way will later become part of the file name of the employee photo taken.
Optionally, a privacy screen can also be presented with a confirmation option for internal/external use of the employee portrait.

Following the recording of the employee picture, the background of the recording can be automatically replaced with one or different backgrounds specified by you. The head is also located for each photo, scaled to a specified size and positioned at a specified location on the final image.

The recording is saved in a size and aspect ratio defined by you (eg square for Active Directory). A comparison between the photographed portrait and the internal employee data record takes place via the name of the file. We would be happy to support your IT department in determining the interface.

A biometric check and a cut to a biometric ID photo are also available.
The image output can take place in several dimensions at the same time.

Of course, each file can also be “branded” using the logo and/or the employee's name and position can be immediately visible on the image.

How does the photographed person get their photo?

So that not only the CRM system or the ActiveDirectory can benefit from the new recordings, the employee has three different ways to get his picture as a file.

1. Enter the email address at the end of the photo sequence.
   Then the captured photo is sent directly to the employee's mailbox.
2. Download via QR code from an offline gallery
   The photo box provides a private WLAN which the employee must dial into.
   At the end of the photo sequence, a QR code is displayed on the screen. That QR code leads to the offline gallery from which the employee can download their recordings. In contrast to the online gallery, this way only works in the immediate vicinity of the photo booth.
3. Download from an online gallery
   At the end of the photo sequence, a code is displayed or printed on the touchscreen, which the employee can use to copy his original photo and the various sizes for the different target systems.

Additional uses

To get the most out of your investment, you have the following options:

• Production of biometric passport photos and ID photos
• Use at employee parties (summer party, Christmas party ...}

The need for investment

The price for the purchase of a photo box perfected in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
It goes without saying that there is also the option of trying out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be offset against the subsequent purchase if the photo box is taken over immediately.
