What should be achieved?
The employees in your company have the opportunity to create and/or update the individual employee photo at a fixed location or at a location that changes on a regular basis (e.g. in the casino or the company canteen or human resources department).
It is important that this takes place in the form of a self-service process and that you do not need additional personnel on site.
You give your teams the chance to identify themselves to 100% around the clock with their own employee photo.
The staff photos can be independently adapted to the best possible format, removed from annoying elements in the background and optionally saved in different shapes and aspect ratios.
A suggested solution
You place a photo box set up for employee photos in your company (e.g. in the cafeteria, at the ID office or in a quiet corner at reception.
The space requirement is around 1.5mx 1m.
There, the employees can sit in front of the photo box and see the operating instructions for the necessary actions on the monitor, as with the passport photo machine.
The screen serves as a touchscreen in parallel as an input terminal for the required information such as e.g. B. Employee ID, first name, last name and/or date of birth.
Alternatively, the photo box can also be programmed so that the data is read directly from the employee ID card. The information recorded in this way then becomes part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be set up with a confirmation option for internal / external use of the photo.
After the employee picture has been taken, the background of the recording can be automatically exchanged for one or several backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and placed in a defined position on the final image.
The recording is saved in a size and aspect ratio defined by you (eg square for the Active Directory). A comparison is made between the saved photo and the in-house employee data record via the name of the file. We would be happy to support your IT department in defining the interface.
A biometric check and an adaptation to a biometric ID photo are available as an optional expansion stage.
The image output can take place synchronously in several dimensions.
So you always have the right photo for
Facebook, LinkedIn, Twitter, Instagram
etc. are available.
Of course, each file can also be “branded” using the logo and/or the employee's name and position will be immediately included in the image.

How does the photographed person get their photo?
So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the employee to receive his photo as a file.
- Enter the e-mail address at the end of the photo sequence.
Then the captured photo is sent directly to the employee's mailbox. - Download from an offline gallery via QR code
The photo box provides a private WLAN that the employee must dial into.
At the end of the recording, a QR code is displayed on the touchscreen. The QR code leads to the offline gallery from which the employee can save his recordings. In contrast to the online gallery, this path only works in the immediate vicinity of the photo box. - Download from an online gallery
At the end of the sequence, a code is displayed on the screen or printed out, which the employee can use to copy their original photo and the various formats for the various target systems.
Alternative deployment options
In order to make the best possible use of the acquisition, you have the following options:
- Use at employee parties (summer party, Christmas party ...}
- Creation of biometric passport photos and ID photos
- Pictures of groups of visitors, e.g. after a tour
- Employee photos (as already explained)
- Photo attraction at customer events & meetings
The cost frame
The cost of buying such a perfect photo box starts at around € 4,400 plus VAT and is worthwhile for companies with around 100 employees.
Of course, there is also the option to test the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is adopted immediately.
Customer ratings
Since the system was introduced in 2019, two photo boxes have been permanently installed in Germany and Zurich.
