The use of a photo box for employee photos

The employees in your company have the option of creating and/or updating their own employee photo at a fixed location or at regularly changing locations (e.g. in the dining room or company canteen or HR department).
It is important that this takes place in the form of a self-service process and that you do not need additional staff on site.
You give your teams the option to always identify themselves to 100% with their individual employee photo.

The personal photos can be automatically optimized to the best possible format, freed from disturbing elements in the background and, if desired, saved in several dimensions and aspect ratios.

A suggested solution

You position a photo booth optimized for employee photos in your company (e.g. in the Katine, at the ID or at the reception in a quiet corner.
The space requirement is approx. 1.5m x 1m.
There, the employees can sit in front of the photobooth in a similar way to the photo booth and see the instructions for the necessary actions on the touchscreen.

The screen serves as a touchscreen at the same time as an input terminal for the necessary data such as e.g. B. Personnel identifier, name, surname and/or date of birth.
Alternatively, the photo box can also be configured so that the data can be read directly from the employee ID card. The information collected in this way then becomes part of the file name of the employee photo taken.
Optionally, a privacy screen can also be displayed with a confirmation option for internal/external use of the photo.

After photographing the employee picture, the background of the recording can be automatically exchanged for one or several backgrounds specified by you. The head is also determined for each photo, scaled to a specified size and positioned at a defined point on the final image.

The image is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison between the photographed portrait and the internal employee data record takes place via the name of the picture. We would be happy to support your IT department in determining the import interface.

A biometric check and an adaptation to a biometric ID photo is available as an optional extension.
The image output can be in different dimensions at the same time.
So you always have the right photo for

etc. ready.

Of course, each file can also be "personalized" with the help of the logo and/or the designation and position of the employee can be included in the picture.

How does the staff get their photo?

So that not only the CRM system or the Active Directory comes into possession of the new photos, there are three different ways for the employee to choose from to get his photo digitally.

1. Download from an online gallery
   At the end of the recording, a code is displayed on the screen or printed out, which the employee can use to download the original recording and the various formats for the different target systems.
2. Download from an offline gallery via QR code
   The photobooth provides a private WLAN that the employee has to dial into.
   At the end of the sequence, a QR code is displayed on the touchscreen. This QR code leads to the offline gallery from which the employee can save his photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
3. Enter the e-mail address at the end of the photo sequence.
   Then the captured photo is sent directly to the employee's email address.

Additional deployment options

In order to make the best possible use of the acquisition, you have the following options:

• Photos of groups of visitors, for example after a presentation

The cost frame

The investment for the purchase of a photo box adapted in this way starts at around €4,400 plus VAT and is therefore worthwhile for companies with around 100 employees or more.
Of course, there is also the possibility of trying out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the system is purchased immediately.
