The mission goal
The employees in your company get the chance to photograph and/or update the individual employee photo at a fixed or regularly changing location (e.g. in the dining room or company canteen or HR department).
It is essential that this takes place in the form of a self-service process and that no extra staff is needed on the spot.
You give your staff the option to always identify themselves 100% with their own employee photo.
The personal photos are automatically optimized to the best possible format, removed from disturbing elements in the background and optionally saved in a number of formats and aspect ratios.
The solution
You place a photo box optimized for employee photos in your company (e.g. in the HR department, at the ID or at the reception in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees can sit in front of the photobooth in a similar way to a passport photo machine and see the instructions for the necessary steps on the display.
The screen serves as a touchscreen at the same time as an input terminal for the necessary information such as B. ID, first name, last name and/or date of birth.
Alternatively, the photobooth can also be programmed in such a way that the data can be read directly from the employee ID card. The information recorded in this way then becomes an element of the file name of the employee photo taken.
Optionally, a data protection screen with a checkbox for internal / external use of the image can also be displayed.
After the employee portrait has been taken, the background of the recording can be automatically replaced with one or several backgrounds specified by you. The head is also determined for each photo, adjusted to a specified size and positioned at a specified location on the final image.
The photo is saved in a size and aspect ratio specified by you (eg square for Active Directory). A comparison is made between the photographed image and the internal employee data record via the file name. We would be happy to support your IT department in clarifying the connection.
A biometric check and an adaptation to a biometric ID photo are available as additional extensions.
The image output can take place in parallel in several dimensions.

Of course, each file can also be “branded” with company logos and/or the employee's name and position can be immediately visible on the image.

How does the employee get the picture?
So that the CRM system or Active Directory alone does not get hold of the new images, there are three different ways for employees to get their image as a file.
- Download from an online gallery
At the end of the recording, a code is displayed on the screen or printed out, which the employee can use to download the original photo and the various versions for the various target systems. - Enter the email address at the end of the photo sequence.
Then the captured photo is immediately sent to the employee's mailbox. - Download via QR code from an offline gallery
The photo box provides a private WLAN which the employee has to dial into.
At the end of the photo sequence, a QR code is displayed on the touchscreen. That QR code leads to the offline gallery where the employee can download their images. In contrast to the online gallery, this way only works in the immediate vicinity of the photo box.
Additional uses
In order to get the most out of your investment, you have the following options:

The need for investment
The cost of purchasing a photobooth optimized in this way starts at around €4,400 plus VAT and is already worthwhile for companies with around 100 employees or more.
Of course, there is also the opportunity to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the subsequent purchase if the photo box is purchased immediately.
