The mission goal

The employees in your company have the opportunity to photograph their own employee photo and/or update it at a fixed or periodically changing location (e.g. in the casino or the company canteen or HR department).
It is important that this takes place in the form of a self-service process and that additional employees are not needed on the spot.
You give your employees the option to always identify themselves to 100% with their personal employee photo.

The personal photos are automatically cut to the best possible format, freed from disturbing elements in the background and optionally saved in several dimensions and aspect ratios.

The solution

You place a photo box perfect for employee photos in your company (e.g. in the Katine, at the ID card or at the reception in a quiet corner.
The space required is approx. 1.5 mx 1 m.
There, the employees will sit in front of the photo box, similar to a passport photo machine, and read the operating instructions for the necessary actions on the monitor.

The screen serves as a touch screen at the same time as an input terminal for the necessary data such as e.g. B. Personnel identifier, first name, last name and/or date of birth.
Alternatively, the photo box can also be configured in such a way that the data can be read immediately from the company ID card. The data recorded in this way then becomes part of the file name of the employee photo taken.
Optionally, a disclaimer screen can also be set up with a confirmation option for internal/external use of the image.

After the employee portrait has been photographed, the background of the recording can be automatically replaced with one or many backgrounds specified by you. The head is also determined for each photo, scaled to a specified size and placed in a defined position on the final image.

The photo is saved in a size and aspect ratio you specify (eg square for Active Directory). A comparison between the photographed portrait and the internal employee data record takes place via the name of the file. We would be happy to help your IT department define the interface.

A biometric check and a cut to a biometric ID photo are available as an optional expansion stage.
The image output can be in different forms at the same time.
So you always have the ideal photo for
Instagram, Outlook, XING, Facebook, the CRM system, Twitter, WhatsApp & Co
etc. within easy reach.

Logically, each file can also be "branded" with logos and/or the name and position of the employee can be immediately included in the picture.

How does the employee get his picture?

To ensure that the CRM system or Active Directory alone does not come into possession of the new photos, there are three different ways for the employee to receive his photo as a file.

1. Download from an online gallery
   At the end of the recording, a code is displayed or printed on the touchscreen, which the employee can use to download the original recording and the various formats for the various target systems.
2. Download via QR code from an offline gallery
   The photo box provides a private WiFi which the employee has to dial into.
   At the end of the photo sequence, a QR code is displayed on the screen. The QR code leads to the offline gallery from which employees can download their photos. In contrast to the online gallery, this way only works in the immediate vicinity of the photo booth.
3. Enter the e-mail address at the end of the photo sequence.
   Then the captured photo is immediately sent to the employee's email address.

In order to make the best possible use of your investment, you have the following options:

• Use at employee parties (summer party, Christmas party ...}
• Production of biometric passport photos and ID photos
• Employee photos (as already described)
• Use at trade fairs to create personalized “flyers”

The need for investment

The investment for the purchase of a photo box perfected in this way starts at around €4,400 plus VAT and is therefore worthwhile for organizations with around 100 or more employees.
Of course, there is also the option to try out the system in advance on a rental basis for € 650 + € 1 / employee photo plus VAT per week.
1/2 of the rent will be credited to the later purchase if the photo box is kept directly.
